Summary
The Administrative Communication Specialist (ACS) provides highly professional administrative support to the COO & President and the Strategic Leadership Team (SLT). This person has an in-depth understanding of the business and acts, writes, and responds on behalf of the Strategic Leadership Team members individually and collectively with the highest levels of accountability and confidentiality.
This role is a blend of administration and communication helping to connect SLT initiatives and messages with the rest of the company. In addition, the ACS coordinates with corprorate ownership on reporting and meeting planning. Please note all new hires must be fully vaccinated for COVID-19. This position is a hybrid remote/office position.
Essential Duties and Responsibilities include the following, other duties may be assigned:
- Clerical and administrative support: appointment scheduling, meeting organization, filing, screening calls and visitors, making travel arrangements, coordinating calendars and answering correspondence
- Assist in meeting facilitation, document preparation, and scribing minutes as needed
- Maintain contracts, agreements, and related documents in SharePoint and Docusign
- Filter communication, make scheduling decisions, and direct employees to resources
- Schedule, run, and send Quick Report(s) at intervals according to established deadlines
- Create, critique, and edit correspondence to promote and maintain the company brand across the SLT departments
- Collaborate with the Marketing team to ensure internal communications and external communications are aligned.
- Research, create, maintain, and archive internal and external reports and documents
- Generate and submit all quarterly government and corporate reports as needed
- Coordinate speaking engagements and collaborative events within the community and industry
- Prepare presentations and related materials
- Schedule and prepare for all executive and corporate meetings; including catering, logistics, materials, etc.
- Collaborate with Marketing in managing trademark protection correspondence
- Assist with tracking KPIs for company profit sharing and on request by customers

Education and Experience
Bachelor's degree or four years related experience; or equivalent combination of education and experience. Previous writing experience a must.
Language Skills
Excellent written and verbal communication skills, proofreading skills, and a strong command of the English language.
Must have the ability to:
- Write professionally and in the appropriate voice as SEKISUI KYDEX, the COO and President, all SLT members, and for varied audiences and mediums, while consistently meeting tight deadlines.
- Read and comprehend instructions, short correspondence and memos, and interpret facts.
- Write business correspondence and reports that will enhance and advance the goals and objectives of the company on behalf of the executives.
- Present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Interpret facts and evaluation information objectively.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs and charts.
Reasoning Ability
Ability to carry out instructions furnished in written, oral, or diagram form. Ability to resolve problems involving several concrete variables in standardized situations. Ability to work with cross-functional teams. Must think critically, be proficient in research, be curious and resourceful. Demonstrated exceptional ability to find information, synthesize it, and explain it.
Computer Skills
To perform this job successfully, an individual must have a working knowledge of Microsoft Office Suite, internet, and be savvy with common PC software and hardware.
