Job description

Position Summary:

Provide administrative support to the Sales Department and managers. As a Sales Coordinator, assist the Sales Department in a multitude of areas. The focus is on incoming leads for the resort. Serve as the client's initial contact with the resort, exceed initial client expectations, and gather all necessary information from them regarding their upcoming event. Assist with creating contracts, preparing amenities, making reservations, and servicing their many clients' requests. Our office is very fast-paced, so multitasking efficiently to keep up with different projects and any deadlines we may have is a must.

Additionally, the Sales Coordinator & Sales Systems Administrator will maximize the full benefits of the Amadeus system and personalize it to the needs of various hotel groups. This person will be the go-to for all system questions, requests, or updates.

Essential Functions:

  • Receive all incoming calls and ensure all customers are connected to a Sales Manager
  • Preparation of Meeting Planner Kits
  • Maintain and order office supplies for Sales Department
  • Prepare and process Expense Reports as needed
  • Prepare and process Purchase Orders as needed
  • Maintain Group files (current and past)
  • Maintain and update Territorial Assignment Chart
  • Process Sales Department invoices
  • Responsible for mailing collateral for sales inquires
  • Check Sales Managers emails and voicemails when necessary
  • Assist all members of the Sales team with any duty necessary to maintain consistency and efficiency
  • Coordinate and distribute gifts certificate requests for all Sales Managers
  • Prepare and distribute various correspondence for all sales managers, including, but not limited to memos, introduction letters, thank you letters, etc.
  • Reservations for Sales Managers Site Inspections. Including, but not limited to rooms, dining, transportation, activities, preparation & distribution of Site Announcements

Amadeus Responsibilities:

  • Create and manage users, profiles, roles, and permissions
  • Create and customize objects, fields, record types, page layouts, workflows, process builders, and validation rules
  • Develop daily, weekly, monthly, quarterly, and annual sales reports and ensure data integrity for accurate reporting
  • Identify trends through the use of data and industry intelligence
  • Perform regular audit activities to ensure compliance
  • Serve as the subject matter expert on Amadeus systems and develop best practice and training documentation
  • Manage all system configurations and ensure smooth daily operations
  • Troubleshoot and resolve all system requests or issues on time
  • Keep current on all system updates and changes
  • Assist with other projects as assigned

Knowledge, Skills, and Abilities Required:

  • Proficient in SalesForce
  • Proficient in Microsoft Office (including Word, Excel, PowerPoint, Access, and Publisher)
  • Must be reliable, work well under pressure, and able to consistently meet deadlines
  • Excellent organizational and communication skills
  • High school graduate or post-secondary education preferred
  • Must be able to speak English
