SCOPE OF POSITION:
In conjunction with the Department Manager, is accountable for effectively supporting all aspects of export-related operations. Is a contact for all international and inter-company inquiries and order-related questions. Responsible for improving customer service and keeping customers advised of order status and shipping dates and alerts them to potential problems that may arise. Responsible for coordinating international shipments and processing the appropriate shipping documents.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides pro-active customer service to ensure that international and inter-company orders are processed quickly and efficiently to ensure that shipping deadlines are met.
  • Coordinates international shipments. This includes completing required shipping activities within OTM platform, notifying each SBU of required shipment dates, ensuring all job orders are included as dated, and preparation of necessary documentation for customs compliance and export.
  • Resolves customer inquiries, complaints, or problems, as relates to delivery, shipping details, special conditions, etc., seeking advice and information from each SBU's internal department as necessary. Creates a "one-stop-shopping" environment for Logistics and Trade Compliance.
  • Coordinates creation of necessary shipping paperwork and export documentation, ensuring completeness and compliance to tariff, customs, and government regulations and company procedures, for each international export leaving the C/S facility.
  • Communicates and coordinates freight movement with shipping companies and freight forwarders.
  • Transmits required U.S. Government information via the Automated Export System.
  • Performs 3 rd party screening to ensure compliance with U.S. Export Controls.
  • Understands all aspects of International Terms of Sale and INCO Terms. Ensures that review and discrepancies are resolved in a timely manner.
  • Supports various reports of International Department including, but not limited to, shipping logs, export sales for management and monthly bookings review, monthly sales report for Corporate International including recap of quotations, booked orders, and invoiced sales.
  • Confers with department supervisors on unusual problems. Advises supervisors of ideas and possible process and policy changes that could improve or enhance service to the customer.
  • Coordinates the flow of information and assistance to the Claims Coordinator for freight damage and material returns processing.
  • Stays current with formal training for certification of safe handling of hazardous materials and other training concerning the proper duties and procedures of an international export department.
  • Assures quality of work through accuracy, neatness, paying attention to details, thorough understanding of information, with minimal amount of rework. Conveys personal commitment to quality by demonstrating good quality behavior. Identifies and acts upon opportunities to improve quality of processes or materials.


Qualifications
KNOWLEDGE/ SKILLS/ EXPERIENCE/ EDUCATION: (Minimum Education and/or Experience required)
  • Associate's degree or equivalent from two-year college or technical school and three to five years related experience and/or training; or equivalent combination of education and experience.
  • Ability to maintain effective interpersonal relationships with internal and external customers.
  • Must be able to build positive working relationships.
  • Ability to excel in team environment.
  • Excellent written/oral communication skills
