Position Title: PROGRAM SPECIALIST

Job Status: Full-time, Non-Exempt

Department: Programs

POSITION PURPOSE

Essential to the BBBS brand, the primary function of this position is to ensure that volunteers and children are appropriately assessed; enrolled and matching recommendations are made while executing a high degree of independent judgment when utilizing BBBS national standards and practices. Provide match support to ensure child safety, positive impacts for youth, constructive and satisfying relationships between children and volunteers, and a strong sense of affiliation with BBBS on the part of volunteers.

Performance Measures: The successful incumbent will produce positive outcomes in the following areas: volunteer/child yield and processing time; customer satisfaction. The successful incumbent will produce positive outcomes in the following areas: match closure rate, match retention rate, average match length, volunteer rematch rate, and customer satisfaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Recruit and enroll volunteers and children for all programs including: oversight of the application, screening and matching process

Assess volunteer "fit" to BBBS. Conduct volunteer and children assessments according to agency standards and procedures. Assess the necessity of home visits and complete as indicated.

Ensure a high-level of proficiency and skill in applying child safety and risk management knowledge, policies and procedures throughout all aspects of job function. Identify child safety issues for volunteers, children and their families.

Coordinate, facilitate, and execute location specific 1:1 mentoring activities with Washington and Greene County site-based programs.

Assist with Mentor 2.0 monthly events.

Develop, promote, and implement individual and group match activities to support ongoing volunteer involvement with the child and agency affiliation through individualized recognition, annual events, and reengagement strategies.

Assist with recruitment and community outreach, including attending and planning community-based events.

Review all enrollment information and assessments and make recommendations for participation in the program based on this information. Assess and apply factors contributing to successful match. Effectively align volunteer interests and qualifications with service options of agency . Consult with other service delivery staff and/or supervisor as appropriate.

Provide comprehensive assessments and match support recommendations for volunteer participation in the program based upon assessments of each individual volunteer. Maintain accurate and timely records for each volunteer according to standards and utilize technology to report, synthesize and analyze data.

High degree of collaboration with other service delivery staff to ensure smooth transition among functions.

Participation in Enrollment match-making meetings and facilitate match meetings. Explain the BBBSPGH policies and procedures to matches. Ensure all forms and documentation is accurately completed.

Attendance at program meetings, supervision and coaching meetings, in addition to training meetings is required.

Continually assess the match relationship focusing on: child safety, match relationship development, positive youth development and volunteer satisfaction. Real and/or potential problems and barriers are identified, addressed and resolved as early as possible. Match support is provided on a frequency according to BBBS Standards, at a minimum.

Assess and provide for individual training needs, information and support needs for each match participant to assure a positive youth development experience for the child, and successful and satisfying experience for the volunteer.

Develop strategic interventions to identify and strengthen match relationships that require extra support to continue to grow.

Effectively utilize surveys to assess and enhance match impact on youth development and to assess the strength of relationship between volunteer and child.

Conduct exit interview by phone or in person with all parties at match closure. Assess reasons for match closure and re-assess match participants who wish to be re-matched.

Complete required tasks and documentation for funding as determined by funding sources (government funding and grant funding)

Share with development and/or marketing staff potential partnership relationships as discovered through volunteers' and parents' employers and affiliations.

Identify and promote re-engagement of volunteers as Bigs, board members, and donors in other volunteer capacities.

To ensure quality services and measurable outcomes, maintain accurate and timely records for each match according to standards. Accurately document all interactions between agency, clients, and volunteers and keep data base updated.

EDUCATION& RELATED WORK EXPERIENCE

Education Level:

Bachelor's degree is required. BA in education, social services, sociology, psychology or related field is preferred. College transcripts will be required.

Years of Related Work Experience:

Related work experience is defined as: work assessment, intake or interview and relationship development experience with child and adult populations; understanding of child developmentand family dynamics. Must have car, valid driver's license, and meet state required automobile insurance minimums.

Experience in effective cross-cultural communications with children and adults to develop and enhance the understanding of the cultural needs of children and their families in relationship to their mentors.

Skills and Knowledge

Proficiency in Microsoft Office; including Word, Outlook, and Excel.

Excellent relational assessment skill.

Excellent oral and written communication skills reflecting solid customer service both in-person and telephone.

High-level interviewingskills.

Ability to form and sustain appropriate child, adult volunteer-based relationships based on positive youth development and volunteer satisfaction

Ability to relate well in multicultural environments;

Ability to effectively collaborate with other volunteer match staff;

Ability to use time effectively;

Ability to focus on details;

Ability to collect meaningful data and draw solid conclusions.

Ability to effectively assess and execute the following relational support skills: guiding, supporting, confronting, advising and/or negotiating

Ability and willingness to travel locally to meet with volunteers and clients

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

Routine office environment. Flexible work hours, including evening and weekends, to meet customer needs . Required 2 evenings per week and at a least 1 weekend day per month. Must travel to local schools, communities and neighborhoods.

Employee will work primarily out of the BBBS Washington County office with expectation to work out of East Liberty/Pittsburgh office up to 4 times a month on average.

CONDITIONS OF EMPLOYMENT

Must be able to pass comprehensive criminal record, child abuse, and FBI background checks.

Must have car, valid driver's license, and meet state required automobile insurance minimums.

Must have COVID-19 vaccination upon hire.

Physical Requirements:

Position is primarily an office setting, requiring long periods of sitting at a desk and computer. The position requires the ability to lift 20 pounds unassisted, 40 pounds with assistance. Frequent visits to donor sites or securing agency supplies may require driving in inclement weather or in the evening after sunset. The ability to navigate within the whole service area is required.

Job Type: Full-time

Pay: $35,000.00 - $37,000.00 per year
