CLERICAL STAFF - Full-Time

Responsible to: Office Administrator and Chief of Police

Definition of Job: To perform clerical support as assigned for the police department.

Duties and Responsibilities:

1. Provide positive first impressions of the Washington Township Police Department, when welcoming visitors to the police station or when representing the Washington Township
Police Department to the public. Greet every person who enters the police station or calls the police station in a professional, courteous manner.

2. Perform general customer service functions, answers telephones in a professional, courteous manner; provides assistance to visitors, provides requested documents and information regarding department services and procedures; refers visitors/callers to other staff members or agencies as appropriate; and takes messages.

3. Collect monies for public requests for reports and services.
4. Perform a wide variety of clerical support work including typing, writing, proofreading, filing, coding, and reporting information on legal records.
5. Perform data input of all pertinent information from hard copy reports to police department computer systems.
6. Maintain files of a variety of records, reports and other documents following proper procedures.
7. Separate and distribute mail daily. Prepare reports for mailing.
8. Ensure that copies of all necessary forms required by officers are readily available.
9. Respond to requests for information, records, etc. in a confidential and timely manner.
10. Prepare, categorize, record and computerize documentation and information for court.
11. Download and file digital photos/videos for case files.
12. Prepare correspondence as directed.
13. Maintain workspace in a clean and organized manner. Maintain a professional atmosphere within the police station.
14. Keep lobby area clean and presentable on a daily basis.
15. Other duties as assigned.

Required Knowledge, Skills and Abilities:

1. Must possess a welcoming, professional, enthusiastic attitude when dealing with visitors, callers, and general public.
2. Ability to handle highly sensitive and confidential information.
3. Ability to deal tactfully with visitors, callers, personnel, and the general public.
4. Ability to work harmoniously in a team environment and maintain a professional disposition.
5. Ability to understand, follow and give clear directions and instructions.
6. Ability to deal with stressful situations requiring diplomacy and tact.
7. Shall be proficient in typing. (40WPM)
8. Ability to communicate effectively with excellent interpersonal skills in both oral and written form.
9. Ability to operate office equipment including computers, scanners, printers, multiline phone system, calculator, copy machine, digital cameras.
10. Ability to learn and retain new skills & computer programs and be positive and flexible.
11. Strong organizational & prioritization skills; attention to detail.
12. Ability to handle simultaneous projects and work independently.

Educational and Experience Qualifications:

1. Must have a high school diploma.
2. Must have previous office experience.
3. Must have a valid driver's license.
4. Must pass criminal justice employment background check.

Additional Information:

1. The probation period for this position shall be three (3) months from the starting date.
2. The standard township benefit package shall apply to this position to include paid holidays, sick time and vacation days.
3. Working hours for this position shall be 0800 to 1630 hours Monday through Friday with ½ hour for lunch.
