Client Service Coordinator I

Position: Full-Time

Location: Memphis, TN


Job Description:

The Client Service Coordinator is an integral part of the advisor support team. With direct oversight and supervision, train on all operations and practice management tasks managed in Salesforce. Assist the team in growing of the practice and in servicing clients by gathering and analyzing client data, completing follow up paperwork and working with clients to process transactions. Other duties assigned by management.


Responsibilities and Time Allocation will change over time to meet the needs of the practice and can include other duties as assigned by management.

Position Functions:

Meeting Management

  • Preparation work for client meetings
  • Follow up letters and scheduling

· Follow compliance requirements and accurately enter all data in Ameriprise systems

Client Support

  • Assist in client inquiries
  • Client guidance of Ameriprise tools
  • Money Movements
  • Updating client data

Business Processing

  • Prepare new business paperwork and ensure client paperwork has all required information and signatures
  • Work directly with Home Office on Not In Good Order paperwork
  • Interact directly with clients to assist in routine transactions and service requests
  • Prepare annuity and insurance applications including third party
  • Partner with Home Office on forms returned for Not in Good Order Submission
  • Process financial planning payments/arrangements
  • Provide required disclosures for new account openings, new financial plans, and rollovers per service level standards
  • Salesforce maintenance for merging records, updating names

· Maintain and track state securities and insurance licenses

Business Support

  • Marketing tasks including support for client events
  • Participate in project/initiatives supporting strategic goals
  • Identify process efficiencies and submit ideas to improve client experience
  • Attend training meetings when applicable

· Other duties assigned by management


Required Knowledge, Skills, Abilities

  • Basic knowledge of client service processes
  • Direct attention to detail and organization
  • Effective and efficient time management
  • Polite and clear phone manner
  • Ability to multi-task in a fast-paced environment
  • Positive attitude and sincere willingness to constantly learn and grow
  • Comfortable with change
  • Contribute towards process efficiency goals
  • Ability to adhere to rules and regulations as stated and required by advisor and the practice
  • Experience with MS Office Suite of programs and ability to learn client software
  • Experience with Salesforce CRM


Education and Other Designations

  • College degree or licenses (Series 7, 66, insurance) or equivalent work experience
  • 0-3 years professional office experience or financial service industry experience
  • Broad based knowledge/understanding of general financial planning concepts
