This is the job description for PURCHASING SUPERVISOR.
Job Title: Purchasing Supervisor
Department: Accounting
Company: Dimension Development
Reports To: Purchasing Manager
Supervises: Purchasing Agent, Shipping/Receiving
Job Purpose: Assist management in obtaining the quality and quantity of food and beverage products ordered at the quoted price utilizing a bid system to safeguard the company's investment in food and beverage inventory and to provide management with accurate and timely operational statistics and/or reports.
Job Responsibilities:
1. Be aware of month-to-date raw food and beverage costs, monthly budget, and status regarding purchases so
that pro-active measures can be taken to meet and exceed monthly budgeted food cost.
2. Maintain effective communication
3. Procure all goods and services by securing bids on all purchases and being responsible for monthly and weekly
quote sheets from major purveyors.
4. Maintain monthly inventory including; updating prices due to fluctuations, collect all inventory count sheets,
collect all transfers (food to bar, bar to food liquor,) send results to accounting, verify accuracy and make
adjustments if necessary.
5. Prepare reports, as requested, including internal food and beverage costs, to develop a more informative data
base for improved management decision making and critical evaluation of work activities.
6. Treat guests, associates and vendors with professionalism and respect
7. Maintain a safe working environment by following safety guidelines
8. Audit food and beverage invoices for proper prices, extensions, and discounts; track credits due from vendors,
working with accounting department to ensure accurate payments.
9. Ensure the proper authorization for the release of product and account for daily food and beverage issues.
10. Review, evaluate and reconcile end of month food and beverage results and reports to food and beverage
director and executive chef.
11. Ship out and receive all items from carriers to include hotel and guest packages
12. Record all received items from carriers and deliver to appropriate location using carts and pallet jacks.
13. Maintain Liquor Rooms in different areas of the hotel.
14. Proficiently manage bottle for bottle liquor inventory system.
15. Maintain wine room and wine cooler.
16. Assist accounting team colleagues in monthly inventory. Help Spot check liquor/ beer/ wine.
17. Maintain accurate inventory of Liquor/ Beer/ Wine at all times.
18. Other duties as assigned.
Job Skills:
1. Negotiation, judgment, analytical and decision-making skills.
2. Microsoft Office skills, to include: Excel, Word, Powerpoint, Outlook, Teams, Sharepoint
3. Strong written and verbal communication skills. Good Interpersonal skills.
4. Able to use electrical or manuel pallet jacks to move good to and from different points in the hotel.
Job Qualifications:
Education: High School diploma or equivalent
Experience: 2 Years of Purchasing Agent experience or Food and Beverage outlet supervisor experience. Culinary Supervisor experience is acceptable
Licenses/Certifications: Food Safety Certification and valid driver's license

Physical requirements and working conditions:
Ability to push and/ or pull equipment. Must be able to stand, stoop, bend, crawl, reach above and below shoulders, repetitive arms and wrist move, climb ladders, stairs and walk on uneven surfaces. Works in an office environment, coolers and walk-ins, storage facilities. Ability to speak and hear in English. Close and distance vision. Frequent sitting with some walking and standing. Frequently lifts/carries up to 50 lbs. Continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills. Continually works in normal office conditions and in close proximity to others.
