JOB POSTING

POSITION: EXECUTIVE SECRETARY

HOURS: Full-Time Position

The Executive Secretary provides assistance to the CEO by performing secretarial and minor executive duties.


EXAMPLES OF DUTIES:

  • Screens visitors and telephones calls, taking messages and forwarding to the appropriate person
  • Knowledge on taking minutes of staff and other assigned meetings, transcribes material using computer and distributes to designated personnel. Maintains files of all minutes taken at committee meetings for future references
  • Managing information flow in a timely and accurate manner
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf
  • Managing the executive's calendar, including making appointments and prioritizing the most sensitive matters
  • Processes records and forms, requisitions office supplies, and performs other administrative support procedures for effective office management
  • Coordinates all travel arrangements for the CEO.
  • Performs secretarial and administrative tasks for the Hospital Board, including transcribing minutes, scheduling meetings, preparing informational material for Board Members and reviewing needed documentation for clarity and completeness.

JOB QUALIFICATIONS:

Education: Graduate from High School or equivalent.

Experience: Two years of administrative, office management and/or secretarial experience however prefer previous medical office experience.
