PRIMARY PURPOSE:
Responsible for providing a range of administrative support and coordination of projects for the Chief Financial Officer. Work under minimum supervision to provide advanced clerical services to the CFO while having professional discretion concerning confidential matters and engaging in frequent contact with all levels of district employees, outside agencies, and the public; be knowledgeable of district policies and procedures; be efficient and versatile.
QUALIFICATIONS:
Minimum Education/Certification:
- High School Diploma or equivalent. Bachelor's degree preferred.
- Thirty (30) semester hours of college credit with some business or equivalent business college training; or successful demonstration of seven areas of competency as identified in the professional standards program of the National Association of Educational Office Personnel, including competencies in typing, transcription, filing procedures, office records management, and business writing; or
- Five (5) years of advanced secretarial experience with extensive experience interacting with people

MAJOR RESPONSILITIES AND DUTIES:
- Provides a wide variety administrative support to the CFO and to the departments under his/her supervision. Manages the CFO's and departmental calendars to prioritize and resolve conflicts and to ensure all commitments and deadlines are met.
- Prepares responses, correspondence, meeting materials, schedules, forms, manuals, reports presentations, and other documents and communications for the CFO.
- Schedule appointments and maintain the administrator's calendar.
- Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
- Make travel arrangements including making hotel reservations and turning in conference registration forms.
- Answer incoming calls and greet visitors. Respond to routine inquiries from the public and staff and refer appropriate inquiries or problems to (cabinet-level administrator) or other administrators.
- Compile pertinent data used to prepare various required state and local reports.
- Prepare purchase orders and payment authorizations as directed.
- Compile, maintain, and file all reports, records, and other documents as required.
- Comply with policies established by federal and state laws and regulations, and local board policy.
- Maintain confidentiality.
- Assure that purchases and invoices are verified, recorded and distributed to accounts correctly.
- Provide financial information for other departments and agencies.
- Communicate financial information in an understandable form for non-technical people using both written and verbal skills
- Maintain records according to generally accepted accounting principles (GAAP).
- Consistently comply with all policies and procedures.
- Consistently maintain high professional standards at work with regard to personal behavior and interaction with other staff.
- Perform other duties as requested by the CFO
MENTAL DEMANDS/PHYSICAL DEMANDS/ENVIRONMENTAL FACTORS:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; occasional districtwide travel
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
