PERSONAL EXECUTIVE ASSISTANT, Saxum Real Estate, Austin TX

Saxum Real Estate, one of the fastest growing real estate investment and development firms in the country, is seeking a highly motivated and energetic Personal Executive Assistant for its Austin, TX, office working directly for the firm's Founder & Managing Principal, Anthony Rinaldi. Ideal for the professional who is a self-starter with excellent communication and organizational skills, relentless attention to detail and a team player.


ESSENTIAL JOB RESPONSIBILITIES

  • Responsible for all administrative tasks for Managing Principal, including both professional and personal
  • Function as the point of contact between the Managing Principal and internal/external individuals
  • Maximize efficiency through streamlining the management and organization of the Managing Principal's calendar by scheduling appointments, meetings and daily activities while assisting in CRM accuracy and maintenance
  • Prepare agendas, attend meetings, and transcribe correspondence from handwritten notes
  • Schedule speaking engagements, conferences and onsite meetings, luncheons, coffees, in-house events
  • Coordinate business and personal travel arrangements including flights, accommodation and ground transportation
  • Assist with day-to-day office tasks, organizing workflow and maintaining office supplies
  • Greet and check-in clients and other guests for meetings and events
  • Spend time and become familiar with all aspects of the Managing Principal's business, family and residence
  • Run professional and personal errands as requested
  • Interface with multiple professional and personal third-party contractors and vendors at office and residence

KNOWLEDGE, EXPERIENCE AND SKILLS

  • Opportunity requires a presence in the Austin TX headquarters
  • Minimum of 3 years of experience as an Executive Assistant with an exposure to commercial real estate
  • Associate or bachelor's degree preferred
  • Professional appearance and excellent verbal and written communication skills
  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities
  • Excellent oral and written communication skills with the ability to manage key internal and external relationships
  • Overly accountable and responsive with a sense of urgency concerning tasks or assignments
  • Proactively takes initiative and is a true team player
  • Willingness to listen, learn, provide feedback and streamline processes
  • Ability work in a challenging fast paced team environment
  • Pleasant demeanor serving as one of introductory faces of the firm when welcoming partners
  • Excellent knowledge of MS Office suite
