Title: Administrative Assistant
Immediate Supervisor: HR Director (1 Dallas Office & 1 Plano Office position available)
Job Summary: This position is responsible for streamlining administrative procedures, hiring, orientation, and training. We are looking for an energetic professional who is comfortable with managing and prioritizing multiple tasks related to the operations of a home care agency.
Job Qualifications:
Education: Bachelor's Degree (preferred) and/or equivalent work experience.
Experience/Skills: Strong organizational and interpersonal skills, ability to multi-task in a busy environment, effective verbal and
communication skills, experience with Microsoft Office, High energy and works well with a team or individually. H.R. experience preferred. Positive, customer-focused attitude.
Transportation: Reliable transportation and valid and current auto liability insurance.
Environmental and Working Conditions:
Works in a routine office environment; noise level may be moderately high; must have the ability to work a flexible schedule and extended hours. Possible exposure to toxic materials, toner, etc.
Physical and Mental Effort:
Requires working under some stressful conditions to meet deadlines and patient/client needs, and to make quick decisions. Requires excellent problem-solving skills. Prolonged sitting required with ability to operate office equipment.
Essential Functions:
Initiates hiring process for clinicians including applications and screenings
Monitors compliance with state and local standards
Manages external and internal I.T. software
Responds to customer service inquiries, new client intake supply needs
Confirm and update employee availability including vacation, sick time and holidays
Maintain organization throughout the office including paperwork, office supplies and patient supplies
Manage clinician renewable items with H.R.
Maintain confidentiality of all information pertaining to employees and clients
Provide assistant with any office projects and or any company rollouts
Arrange venues and schedules for meetings between all of the individuals who will be contributing to a task
Write internal communications documents, including handouts and emails, to inform team members of important notices
Review materials created by others and offer suggestions for improvement
Coordinate and oversees the completion of special projects as needed
