The Company

Established in 1896, Child & Family Guidance Center (CFGC) is a registered 501(c)3 not-for-profit corporation. The agency is the oldest child guidance center in Texas and 2nd oldest in the nation. Serving over 10,000 individuals a year, this includes over 6,000 children. CFGC is dedicated to providing services to adults and children experiencing mental illness. We offer a wide array of all encompassing services including: Clinical Assessment, Psychiatric Evaluation, Case Management, Medication Management, Individualized Counseling Services, Family Counseling Services, Rehabilitation Services, Parenting Classes, Social Studies, & Divorce Education.

The Position

CFGC is looking for a Back Office Coordinator to be responsible for the posting of patient payments, as well as third-party payments and/or adjustments. This position will work with patients communicating deductible, copayments and or co-insurance amounts including patient statements. Position also includes ordering supplies via purchase order. The Back Office Coordinator reports to the Billing Manger

Responsibilities:

1. Responsible for accurate and timely data entry of computerized patient and/or third-party payments and/or adjustments into Medisoft Professional.

2. Patient communication and education of insurance benefits including deductible, copayments and or co-insurance amounts.

3. Statement support including education and/or communication with patients regarding statements.

4. Patient follow up for statements returned by USPS. Update Medisoft systems of new patient address. Creates new statement for any statement that is undeliverable by USPS.

5. Establish and negotiate patient payment plans.

6. Distribution of mail to both internal departments as well as clinic location within the organization.

7. Assist clinic staff with purchase of supplies through via Purchase Order and/or Amazon.

8. Completes data entry of various billing edit or accounting reports and/or corrections within specified time frames.

9. Communicates with department manager, team lead, or team members in efforts to resolve billing related problems. Communicates barriers immediately to the Billing Manager.

10. Maintains knowledge of and complies with established policies and procedures including government, insurance, and third-party payer regulations.

11. Protect patient's rights by maintaining confidentiality of personal, financial, and medical information.

12. Meets weekly and/or individual and team targets.

13. Assists with Special Projects and other duties as assigned by Billing Manager.

Job Qualifications:

Technical/Computer Skills: Skilled in operating various medical record software and hardware, word-processing, and database software programs; minimum of 50 WPM preferred.

Core Competencies:

Ability to learn and appropriately apply basic medical terminologies and techniques taught and used on the job.

Strong written and verbal communication skills.

Keyboard proficiency (approximately 50 words/minute).

Ability to operate a personal computer and related software applications.

Strong attention to detail.

Ability to multitask and accept Billing Manager prioritization of job duties.

Ability to problem solve under pressure.

Ability to communicate and interact professionally with others.

Understanding of and commitment to appropriate protection of confidential patient information.

Physical Requirements:

1. Ability to view computer monitors with close vision, color vision, depth perception and ability to adjust your focus with good hand-eye coordination.

2. Ability to operate a computer and/or laptop through proficient typing, clicking, and viewing a monitor for extended periods.

3. Employee must be able to sit up to 80% of the time.

4. Employee must be able to stand, walk, and climb stairs (up to 10% of the time)(if an elevator is unavailable).

5. Must be able to frequently (up to 20% of the time) talk, listen and speak clearly in person and via telephone.
