Job description
The Contract Management Specialist will support contract management processes, procedures and strategy; act as liaison between Legal, Strategic Sourcing, Vendor Due Diligence and Corporate business units in supporting acquisition needs for services and materials, perform required contract review, activities for non-business critical vendors; create and update contract portion of contract management system and create necessary contract workspaces; prepare contract requests for legal review; and oversee status of active contracts keeping business unit clients informed of renewals, terminations, and other required actions. Reports to the Contract Management Officer. Essential Functions Support strategies and practices to help ensure proper review, approval, execution, and ongoing Contract maintenance. Coordinate with clients in need of contractual agreements with vendors (liaison between Strategic Sourcing, business unit and reviewing attorney). Maximize the use of supplier management software to balance customer service, compliance, contract and non-critical vendor approval, tracking, storage and reporting. Educate clients on the approved policy, process and procedures regarding the procurement of goods and services to meet their business needs. Proactively support and drive the supplier relationship and performance management and non-managed vendor activities and processes. With direction from the Contract Management Officer, support and drive supplier relationship management processes and procedures with internal and external clients. Taking direction from the Contract Management Officer, create Contract workspaces within the Ariba system. Act primary contact for any Ariba system related issues and coordinate with the Contract Management Officer for system support needs and enhancements Support and drive contract change management processes and user adoption of Ariba. Proficiency with Microsoft Office, including Word, and Excel Proficiency with Ariba upstream solutions Perform duties in keeping with company core values: honesty and integrity, one team Ensure contracts follow due diligence and contract execution policies and procedures. Job Requirements 3-5 years of progressively responsible experience in Supplier Management or Contract Management. Post-secondary education (university or college degree) in business administration, supply chain management or related field. Demonstrated knowledge and experience of private sector sourcing, contract management and Vendor Management. CPSM or CPM or equivalent education preferred. Exceptional customer service, communications and negotiation skills. Ability to write reports, and business correspondence. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to compare and analyze data. Understands a variety of vendor contracts and the provisions included therein; the ability to identify and correct risks in the contract language and to negotiate suggested modified language with outside vendors. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to adjust to a dynamic business and regulatory environment.
