The main tasks are processing PO's and Invoices, tracking, shipping, scheduling, accounting, inventory/warehouse management using QB/MS office, dealing with deadlines, interacting with customers/vendors, negotiating with vendors, and general office management! It is a considerable amount of work and demands solution-oriented thinking combined with self-motivation and a results-driven mindset! This is a full-time office position Mo.-Fr. 7.30 am-4.30 pm.

Responsibilities:

  • Handling all incoming calls incl. memos and call forwarding to appropriate terminals
  • Handling an abundance of emails and phone calls
  • Managing multiple databases; vendors and customers
  • Create, prepare and manage quotes for our sales department in QB
  • Manage purchase orders in QB/ MS excel and follow through on the entire process
  • Negotiate with vendors and suppliers.
  • Issue invoices in QB and send out billing statements follow through on the entire process
  • Perform accounting duties and billing processes in QB and track expenses
  • Creating shipping labels and manage the entire shipping processes with QB and MS excel
  • Track and manage all shipments and verify that products arrive on time and to the right person
  • Research ideal shipping techniques, routing, carriers and negotiate contracts and rates
  • Think outside of the Price Box and negotiate with vendors as well as scheduling, arranging, and managing the production of manufactured goods
  • Maintaining and managing house accounts incl. recommending and selling products to our customers.
  • Create safety sheets for our products in compliance with OSHA and similar
  • Maintain and manage accurate documentation of inventory of our in-house warehouse products
  • Small warehouse management incl. addressing and resolving shipment and inventory issues
  • Hands-on with product stocking in warehouse and product restocking on customer sides, able to lift 30+ pounds
  • Work independently and with team members to meet specified daily goals and objectives
  • Performing all of the office duties that include ordering groceries, supplies, stationery and furniture, and so forth.
  • Work directly with the CEO and other Executives on projects from start to completion
  • Monitoring, managing, and reporting departmental budgets to the CEO
  • Provide general administrative and secretarial duties to the owner and CEO
  • Additional or more specific job duties associated might be assigned

We're a Dallas-based certified woman-owned business and we provide 'green' specialty chemicals to large mechanical maintenance organizations in major medical centers, universities & colleges, corporate headquarters, and manufacturing plants. We believe quality performance starts with a positive and helping attitude and therefore our goal is to provide green products and procedures that are safe for the environment and do not emit any pollutants when used.
