Under minimal supervision, the Administrative Secretary supports the physicians, clinical staff and management by creating correspondence, ordering supplies, performing time and attendance activities, entering patient charges, and monitoring the departmental budget.
The Administrative Secretary:
- Answers, screens, and directs phone calls for the program. Determines the urgency of the situation, suggests appropriate referrals, assists caller and informs the appropriate supervisor when the situation warrants further action or attention.
- Responsible for scheduling all patient appointments, procedures, and maintaining clinic schedule. Will ensure that appointments are scheduled and completed correctly as follows: notify appropriate referring physician/staff of appointment time; send pre-clinic packets to patients; call all patients reminding them of their appointment; and call and reschedule all patients that missed their appointments.
- Ensures clinic processes flow smoothly and completes clinic charges accurately and data entry daily. Reports any variances to the process / flow to the immediate supervisor.
- Responsible for Kronos payroll and maintains attendance calendars. Prepares reports as assigned / requested. Maintains confidentiality.
- Preparing the Directors Power Point presentation as well as spread sheet, tables and grafts using Access and Excel.
- Performs general office duties such as ordering supplies, duplication, and distribution of documents. Organizes and maintains paper and electronic filing systems for records, correspondence and other materials.
High School degree or GED and at least one year of previous clerical/administrative experience in hospital/clinic setting (preferred), or an equivalent combination of education and experience.
