Job description

Summary: The Business Office Manager is responsible for monitoring and enforcing compliance with Friendship's Business Office policies and procedures, as it relates to Friendship Outpatient and Wellness Services, Inc.

Roles & Responsibilities:

  • Obtain Insurance Authorizations for patient therapy sessions, as required
  • Complete Insurance Verifications and communicate effectively with clients
  • Assist patients in completing the Outpatient Therapy contract
  • a. Minimal travel required, at times, to assist patients receiving services at the extension site
  • File and maintain financial records as required
  • Maintain client rosters for patients treated outside of the primary clinic
  • Process copays
  • Correctly assign Payer Trees within EMR
  • Complete monthly invoices for the Wellness Program
  • Enter coding and assist with the end of month close-out procedure
  • Process refunds, collections, mailings, and generate bills for Friendship Outpatient and Wellness, Inc.
  • Call and remind patients of therapy evaluations
  • Prepare new patient hard charts
  • Back-up and cover the front Office Assistant position, as needed, during PTO/absences
Essential Functions:
  • Maintain accurate payer records by collecting all required information and verifying it regularly
  • Timely processing of statements, claims and transactions
  • Properly file and maintain records for all transactions in preparation for audits
  • Prepare reporting weekly, quarterly, and annually

Qualifications:
  • Must have excellent attention to detail and organizational skills with the ability to prioritize tasks to ensure deadlines are met
  • Ability to communicate effectively with other staff, residents, family members, and providers/vendors
  • Strong knowledge of insurance, especially as it pertains to third party payers (Medicare, Medicaid and Managed Care organizations)
  • While performing the duties of this job, the employee is regularly required to see and talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. May be required to lift or move objects weighing 20 lbs.
  • Must be able to read, write, speak and understand the English language
Education & Experience:
  • Associate's Degree in business or related field preferred; or 5 years of experience in a medical business office setting
  • Minimum of 2 years' experience in insurance billing preferred
Working Conditions:
  • Works in office areas as well as throughout the facility.
  • Moves intermittently during working hours.
  • Is subject to frequent interruptions.
  • Works beyond normal working hours, weekends, and holidays and on other shifts/positions as necessary.
  • Attends and participates in continuing educational programs.
  • Is subject to injury from falls, burns from equipment, odors, etc., throughout the day, as well as to reactions from dust, disinfectants, tobacco smoke, and other air contaminants.
  • May be subject to handling of and exposure to hazardous chemicals
