Real Estate Listing Coordinator

SUMMARY

The Real Estate Listing Coordinator works in accordance with the established policies and procedures of the community and/or specific instruction from the Director of Sales and Marketing. The Real Estate Listing Coordinator performs all the necessary functions of ensuring a successful process for refurbishment and listing preparation for all inventory, and listing/sale of resale and ASCA owned (not ASCA Acquired inventory). The Real Estate Listing Coordinator is required to maintain current Real Estate licensing and continuing education as required by law and to conduct real estate transactions legally and ethically as a representative of the seller.

QUALIFICATIONS

* Associates degree and three years of related work experience or high school degree and minimum five years related work experience
* Organizational skills
* Experience in a professional office setting or hospitality environment, where good communication (especially telephone) and customer relation skills are essential
* Proficient in the use of various software including all Microsoft Office applications
* Strong written and verbal communication skills
* Excellent keyboarding and proofreading skills
* Ability to multitask
* Takes initiative

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Consults with property owners about listing process including but not limited to researching land records, gathering legal information from families, and determining who is acting on behalf of the legal owner.
* Prior to listing appointment, complete the Pre-Listing Inspection Checklist and make notes to present to seller.
* Prepare documents pertaining to listing inventory for re-sale and ASCA properties. Obtain seller signatures on agreed-upon costs for repairs and renovations that are to be completed by Atlantic Shores.
* Serves as the primary contact with owners, maintain consistent communication, at least one update each month, throughout the listing and sale process, negotiate sale/lease contracts on listed inventory.
* Communicate with owners to negotiate PICRA, coordinate repairs and provide documentation to Transaction Coordinator.
* Regularly inspect all listed inventory each month, looking for major visible changes regarding cleanliness or mechanical issues.
* Identify association owned units for refurbishment, establish and adhere to finishing standards within budget allowance based upon unit's future use as a rental or sale determined by Director of Marketing and Sales.
* Communicate, coordinate and manage the pre-listing process to include oversight of renovation projects, ensuring quality of work and completion within expected timeframe.
* Utilize DSSI for purchasing, track expenses and adhere to budget. Exceptions made by approval from Director of Marketing and Sales or Principal Broker.
* Maintain staging in targeted ASCA units as determined by current inventory and local demand.
* Staffs the office to meet business needs which may include evenings, weekends and holidays.
* Assumes responsibilities for personal work areas and maintaining areas in a presentable manner, including the readiness of the Design Center during business hours.
* Embraces Extraordinary Impressions best practices in the marketing office and influences hospitality focused environment throughout the community.
* Maintains accurate data in the Sales Report and CRM at all times.
* Utilizes CRM to document all interactions with owners.
* Communicates with internal stakeholders including community leadership and other departments along with vendors as needed regarding any requests for construction / physical plant changes.
