Job description

Position Summary

The Community Engagement Coordinator supports the Refugee and Immigrant Services (RIS) Department in Dale City, VA, through coordination of volunteers, interns, and community support activities. This position recruits, orients, and onboards volunteers, interns, and service groups to support administrative, client-facing, and in-kind needs of refugee and immigrant families in the Washington, D.C. Metro area. As a key role in LSSNCA's community engagement and mobilization strategy, this position serves as the agency point of contact in the community for all volunteer related opportunities and activities, including the Good Neighbor Partners (GNP) program. The Community Engagement Coordinator is responsible for collecting, managing, and reporting match on behalf of LSSNCA by collaborating closely with finance and Reception & Placement and Matching Grant team.


Essential Functions

Volunteer & Intern Management

  • Maintains current knowledge of the U.S. Resettlement Program;
  • Maintains current knowledge of all Refugee and Immigrant Services;
  • Manage volunteer activities across LSSNCA programs through recruitment, training, screening, onboarding, tracking, and reporting;
  • Liaise with program staff to develop and maintain streamlined mechanism or process of monitoring, fulfilling, and anticipating volunteer, intern, and service group needs across LSSNCA programs and sites;
  • Administer the agency's volunteer management database (i.e., Better Impact) to manage volunteer applications, all individual and group volunteer roles and activities, and other data;
  • Report on agency volunteer activities and hours on a monthly and quarterly basis according to specific program guidelines, including Matching Grant;
  • Supervise 2-3 interns or admin volunteers who work with RIS programs or projects (e.g., refugee family mentoring, tutoring, Refugees Give Back);
  • Create volunteer training, resources, and written/online materials for the agency as well as respective programs;
  • Oversee refugee family mentoring program and support development of new volunteer-focused programs and initiatives;
  • Lead and facilitate regular volunteer orientation sessions (e.g., monthly) and provide 1:1 support to volunteers and interns;
  • Revamp and review volunteer handbook and related content on a regular basis periodically and ensure alignment with agency policies, respective program guidelines, and accreditation requirements;
  • Redesign position descriptions according to program needs, innovate new volunteer related opportunities, and research and incorporate best/promising practices in nonprofit volunteer management, volunteer engagement and retention, and resettlement agency program support.


Community Engagement

  • Conduct regular outreach to congregations and groups via presentations and other speaking engagements, targeting both faith and secular communities in DC, MD, & Northern VA;
  • Maintain and strengthen partnerships and positive working relationships with community partners, including congregations, volunteer organizations, and other groups;
  • Handle all volunteer related communications and serve as agency point of contact for volunteer activities, opportunities, and questions from stakeholders in the community;
  • Collaborate with RIS team to plan and implement in-person or at-a-distance activities or events that involve volunteers, such as LSSNCA holiday projects, donation drives, food deliveries, World Refugee Day celebrations, and volunteer appreciation activities;
  • Support strategic volunteer/intern recruitment and expansion of agency "footprint" online and in the community;


Good Neighbor Partners

  • Coordinate LSSNCA's Good Neighbor Partners (GNP) refugee co-sponsorship program through recruitment, training, screening, onboarding, and matching groups with refugee families;
  • Oversee and monitor the lifecycle of GNP commitments through advising on logistics of apartment setups, monitoring of GNP activities, tracking commitment and progress towards client goals, and providing ongoing, proactive, and responsive support to GNP groups via email, calls, and visits;
  • Serve as an external point of contact for the GNP program as well as liaises between GNP groups and case managers, to ensure smooth and efficient GNP communication and processes;
  • Develop and revamp streamlined process for apartment setup and GNP requests among RIS case management staff teams in VA and MD;
  • Provide guidance to RIS staff in their interactions with GNP groups and ensures clear expectations for the program;
  • Monitor the lifecycle of GNP commitments using program trackers and ensure open channels of communication with GNPs, including updates in program referrals/transitions for clients;
  • Collect records of co-sponsor, volunteer, in-kind, and cash donations for the GNP program in collaboration with case managers, Site Directors (SDs), Community Relations Director (CRD), and the finance department;
  • Create and regularly update GNP training, resources, and other program materials aligned with the values of the program and mission of the agency;
  • Support GNP program evaluation, improvement, and growth;
  • Other duties as assigned.


Qualifications and Education Requirements

Education

  • Bachelor's degree (four-year college or technical school) required in one of the following field(s) of study: communications, social or behavioral services, personnel administration, or related field


Experience

  • At least one year of program coordination or volunteer management;
  • Demonstrated experience in training and community outreach;
  • Familiarity in analyzing and reporting quantitative data;
  • Experience with faith groups/congregations, service groups, and collegiate organizations a plus.


Computer Skills

  • Familiarity with Microsoft Office Suite;
  • Experience managing data in volunteer database (e.g., Better Impact) or other CRM software.


Other Requirements

  • Excellent verbal and written communication skills;
  • Attention to detail and accuracy;
  • Strong organizational skills;
  • Must be comfortable in public speaking and training roles;
  • Self-started with ability to work independently and as a member of a team;
  • Valid driver's license and clean driving record;
  • A personal vehicle or access to a vehicle required;
  • Must clear background check and drug screen, physical, and TB test.
  • COVID-19 vaccination mandatory.


Preferred Skills

  • Knowledge of the US resettlement program;
  • Familiarity with local organizations, communities, and resources;
  • Strong skills in writing, Excel, and program coordination;
  • Positive, friendly, and can-do attitude;
  • Experience with resource or content development;
  • Data entry and use of general office equipment.
