JOB SUMMARY: Provide administrative support to Purchasing department. Process all lot starts, contracts, appliance orders, ensure accurate and on-time vendor payments. Facilitate vendor onboarding process and contract compliance throughout production. Submit all contract and PO revisions with CPA and ensure accurate and timely execution. KBTPO management consisting of new vendor training, payment inquiries, and build information. Perform department analytics to guide usage of vendors, options, and products.ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Manage all appliance orders and coordinate with the CPA to ensure that any late change requests are submitted and sent to appliance manufacturer; delivery dates are met per the construction schedule; follow up on backorders, in order to obtain delivery dates. Also coordinates damages and returns during production.
- Coordination between the Division, CPA, and Subcontractors on payment inquiries
- Process all Lot Starts, Late Changes, and Payment In Error requests as needed.
- Assist with the KBTPO software user onboard and training
- Submit pricing contract requests and subsequent interaction with CPA
- New Vendor onboarding and setup
- Assist in the distribution, completion, and tracking of scopes of works and master contract agreements.
- Manage the completion of necessary insurance requirements to meet compliance.
- Prepare, distribute and collect Vendor Assignment Letters for all new communities.
- Monthly reports; Option selection frequency, Option Margin, Base house cost, etc.
Work with Internal Employees and External Subcontractors:
- Internal:
- Purchasing Agent (daily) - communicate work progress and any outstanding issues.
- Purchasing Agent (as necessary) - communicate on any subcontractor payment issues.
- Centralized Purchasing Administration (CPA) (as needed) - Lot Starts, Late Changes, FMI, CMF, FPO
- Construction (daily) - provide support for any concerns regarding appliances, contracts, options, starts.
- Invoice coding and reconciliation.
- Track and monitor production starts to align with business plan.
- External:
- Subcontractors (as needed) - provide support regarding questions or concerns with KBTPO and payments.
- Appliance Manufacturer (as needed) - communicate status of new orders, back-orders and replacement parts.

EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:
Education/Certifications/Licenses
- High School, college degree preferred.
Experience
- Working with residential construction builder or contractor preferred.
Knowledge, Skills & Abilities
- Must be highly organized and ability to multi-task in a high paced environment
- Self-disciplined and driven
- Proactive and biased for action
- Must have excellent communications skills
- Proficiency in Excel, Word, and Microsoft Office software
- Exceptional communication skills necessary, both written and verbal; detail oriented with good follow-up and follow-thru skills.
