Inflection Wealth Management is an independent financial services practice, located in Mill Creek, WA. We take a broad-based approach to helping our clients achieve multiple financial goals. Job Description:
We are hiring a position that is paramount for administrative and operational activities that impact the client experience. The Experience Coordinator is the face of Inflection; often the first impression and voice of the practice which kicks off, and sustains, that client experience.
This position upholds a strong commitment to the Inflection experience. In this role, the ideal team member will provide administrative support as well as contribute to an unparalleled client experience which requires a friendly, upbeat demeanor. The ideal candidate will support the daily operations of the practice, including, but not limited to answering the phones, meeting/greeting clients, handling/distributing mail, ordering supplies, utilizing firm computer systems and programs in support of scheduling and client relations, and carrying out other administrative tasks as assigned. This role reports to Inflection's Operations Leader.
Roles/Responsibilities/Accountabilities:
- Create a warm and welcoming environment while ensuring guests have unmatched positive impressions
- Sustain an organized and presentable office environment
- Utilize available scheduling tools to proactively manage a complex calendar of events, including meetings on behalf of the practice's Wealth Advisors
- Perform routine office management duties such as maintaining office supplies and processing mail
- Prepare or coordinates the preparation of routine correspondence and reports,
- Support special projects, administration of various programs, and processing functions as needed
- Plan and execute various events, including appreciation, recognition, and congratulatory activities
- Update the contact management system with client contact and preference information
- Assist Wealth Advisors in the preparation and follow up for client meetings
- Track practice expenses and oversee the practice bill paying
- Collaborate with Operations team members; provide back-up support on tasks for other staff members, as needed
Position Qualifications:
- Excellent communication Skills
- Computer competence and aptitude in common business platforms (MS word, excel, outlook, ppt)
- Ability to handle multiple tasks through organized and disciplined follow-through in a disruption-heavy environment
- Ability to maintain integrity of sensitive/confidential information
- A genuine interest in engagement and communication with people; ability to adapt and relate
- Willingness and desire to learn
