UW Bothell has an outstanding opportunity for an Administrator.

A senior member of the IAS Leadership team reporting to the Dean, the IAS Administrator oversees fiscal and administrative operations for the School. This includes lead responsibility for (1) fiscal oversight, systems development, reporting, and planning; (2) operational effectiveness and resource management (including managing support staff for fiscal and operational support, and academic human resources); (3) developing strategic plans, overseeing their implementation, and ensuring continued performance.

The Administrator's operations team includes as direct reports a Budget Fiscal Analyst Lead, a Curriculum Planning & Assessment Specialist, Program Coordinator, and a Fiscal Specialist (.5). This position works closely with the Dean and Associate Deans, the Dean's direct reports, and chairs of the Personnel and Fiscal Operating Guidelines committees.

This is an overtime-exempt professional position. The IAS Administrator will have an assigned office within the IAS Administration and Dean's office suite, and will establish a regular daily and weekly schedule that coincides with the IAS office hours (M-F, 8:30am - 5:00pm). This position may require work outside of regular business hours to attend meetings or meet critical deadlines.

RESPONSIBILITIES:

LEADERSHIP AND STRATEGIC DEVELOPMENT

* Lead, supervise, and develop the IAS Program Operations team to fulfill the functional and structural needs of the School and its development.
* Develop and maintain unit administrative policies and procedures essential to the operational functions of the School.
* Develop long-term planning documentation in support of strategic goals, and integrate activities with organizational direction and mission.
* Monitor, audit, advocate and recommend to the Dean's leadership team resource alignment in support of school's short- and long-term mission and goals.
* Participate in the planning and implementation of new programs by conducting analyses of unit needs and resources, including revenue projections.
* Contribute to IAS management, leadership, and governance meetings, including strategic planning and policy development efforts.
* Provide leadership for staff development efforts including staff meetings and retreats, professional development, staffing plans, and process improvement initiatives.
* Advocate and encourage participation in the greater UWB and UWS community, such as, campus trainings, events, and networking with a goal of increasing school engagement in the broader community.
* Serve on campus committees as needed to assist with strategic planning and overall campus budgetary processes & goals.
* Continuously lead efforts to synthesize school staff efforts to gain efficiencies and effectiveness.

FISCAL MANAGEMENT

* Develop and implement biennial and multiyear strategic budget plans, leading the school in successful implementation of the Responsibility Centered Management (RCM) campus budget model.
* Ensure continuity of operations.
* In coordination with the Dean and leadership team, develop and implement fiscal policies for the school.
* Develop and analyze revenue and expenditure projections; advise the Dean and unit on long-term planning and mission initiatives that support IAS strategic goals.
* Ensure accurate, compliant and eligible use of all IAS fiscal resources.
* Oversee the overall management of IAS revenue streams including state-based, gift, and fee-based budgets.
* Serve as liaison with the Office of Academic Affairs, Institutional Research, Fiscal & Audit Services, and Institutional Planning & Budget offices regarding budget requests, allocations, summer instruction, and other fiscal changes.
* Work closely with campus and central offices to support accurate and informed planning and reporting.
* Develop and oversee processes and systems tracking and reporting on faculty effort, including faculty course releases funded through internal and external grants.
* Oversee and serve as approver for faculty payroll changes; reporting on and management of fee-based program budgets; monthly business (ProCard) card reports; facility requests and plans; course fee policy and processes.
* Lead unit in adoption of WorkDay Financials/Financial Transformation, in coordination with campus and UW roll out.

ACADEMIC HUMAN RESOURCES OVERSIGHT

* Assign and oversee the work of the Program Operations team to maintain schedules, communications, data entry and tracking for all academic HR processes, including re/appointments, reviews, promotions, and leaves.
* Serve as the resident expert in Workday, and fulfill the Academic Partner role, verifying and approving all entries for faculty appointments and payroll initiated by the HCM2 Initiate.
* Initiate processes as needed. Oversee faculty on-boarding and ongoing support, delegating functions to other members of the Program Operations team.
* Ensure timely communication and action on vital faculty personnel processes, including providing Interfolio support for all promotion, tenure, and review processes.
* Manage and process all VISA documentation for foreign nationals, ensuring stable VISA status to support UW employment.
* Provide recommendations to dean and associate deans on regulatory compliance related to local level faculty policies and procedures; assist in drafting academic HR policy as needed.

GENERAL PROGRAM OPERATIONS

* Oversee school space operations, including research, and managing office placements and equipment for faculty.
* Oversee management of school assets, including department owned technology and furniture distributions.
