Customer Service Coordinator

This role is typically split into three focuses: procurement and order management, assisting Project Managers, and on-site client support.

Job duties

Procurement and Order Management

  • Support project coordination and order fulfillment process including procurement and order management; track orders/tickets; assist in delivery coordination
  • Point of contact for product, order, and ticket questions from team members and clients
  • Manage vendor relationships through proofs and process acknowledgements, shipping documents, and invoicing

Project Management Assistance

  • Assist key project and design team members to ensure fulfilled client contracts, requests, changes, and guideline adherence
  • Identify project issues, formulate plans to resolve issues, and effectively communicate results to team
  • Prepare reporting and communications about project status and changes with internal design and project teams, clients, general contractors, construction managers, architects, and other vendors
  • Provides reporting to Project Managers on budget, schedule, and planning throughout project lifecycle

On-site Client Support

  • Coordinate on-site projects with clients' teams for space planning, reconfigurations, new hire on-boarding, individual moves, ergonomics, and small-scale MAC projects
  • Manage building protection and access, elevator reservation, product staging, and project progress
  • Communicate with clients, facilities managers, and vendors on project status and scope
  • Develop workspace planning guidelines, codes, and egress requirements including fire and safety protocols

MINIMUM QUALIFICATIONS - REQUIRED

  • 2+ years of related experience in a fast-paced administrative environment where you are required to multitask to accomplish the tasks.
  • Effective written, verbal, and visual communication to ensure client vision is met
  • Excellent time management, organization, and project management skills
  • Deadline-driven, self-motivated work ethic
  • Proven track record of being able to work with clients in a consultative relationship
  • Flexibility in a fast-paced environment as project requirements and priorities change
  • Technical understanding of design and order management programs is a plus
