Job Description:

We are a fast-paced Physical Therapy & Wellness clinic looking for an upbeat, friendly, dedicated, office professional seeking long-term placement in the Front Office environment.

The Front Office Assistant/Appointment Setter oversees the Rehab United patient experience, the delivery of our trusted brand of service, and the efficient operations of daily business activities. The Front Office Assistant/Appointment Setter puts our patient's experience and support to Rehab United team members above all else. The Front Office Assistant/Appointment Setter is responsible for schedule management, accuracy & efficiency of daily operations, and assisting the Clinic Director.

  • Greets and checks in patients when they arrive to the office.
  • Maintains a high level of customer service with patients and their family members, staff, and providers.
  • Call potential leads generated via website, community events, and other lead generating activities.
  • Re-schedule patients that have cancelled or fallen off the schedule.
  • Participate in community events attended by Rehab United Seattle.
  • Send thank you notes to referral sources.
  • Has patient complete required forms, obtains necessary signatures, and accurately enters the patient information for registration.
  • Ensures all insurance, personal and health information is obtained and verified prior to each patient's appointment.
  • Maintains daily scheduling and confirmation of patient appointments.
  • Responds to heavy volume of incoming calls for appointments and other requests.
  • Collects patient co-payments, deductibles, and prior balances.
  • Explains payment policy/billing procedures, and patient financial responsibility.
  • Manage new and follow up appointment authorizations
  • Prepares and files patient forms.
  • Balances daily monies and receipts, and ensures accuracy of fee tickets & batch summaries.
  • Other duties as assigned.

  • Ability to manage time efficiently in a stressful environment while maintaining professionalism and composure.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Must be familiar with MS Office, including Excel, and have the ability to learn computer operating systems.
  • Maintain confidentiality.

Required Experience:

Medical office experience not required. Interest in Sales and Social Media a plus.
