  • Responsible for the review and approval of new accounts and additional investment transactions for the broker/dealer to ensure investment suitability, including adhering to regulatory and compliance requirements.
  • Accountable for workflow and phone queue monitoring to ensure adherence to the broker/dealer service level goals.
  • In addition, the position will serve as the Subject Matter Expert working on more complex issues related to both processes and systems and respond to inquiries using the highest level of professionalism.
  • Responsible for developing and maintaining operations training materials and the delivery of operations and/or best practice training for the broker/dealer.
  • The colleague is required to have detailed knowledge of the broker/dealer systems, applications, and to be able to assist all broker/dealer operations colleagues with questions and to ensure customer satisfaction.
  • The position provides leadership to team including facilitating regular team meetings, providing mentoring and coaching opportunities in addition to handling conflict resolution and motivation of staff.

Job Accountabilities

* Perform all the functions and job accountabilities of the AIS Operations Processing Specialist.

* Analyze and approve new business and additional investment transactions of the broker/dealer by comparing the products sold to the client's investment risk profile to ensure proper documentation and investment suitability. Diplomatically enforce rules, regulations, and compliance via direct communication with and/or formal memorandums to sales management and/or Registered Representatives to achieve compliance and proper sale practice.

* Monitor daily work queues, prioritize, and provide work direction to the processing unit in order to meet service level goals. Duties may include reviewing, prioritizing, and distributing daily work to meet deadlines and goals; giving feedback and training to staff; addressing scheduling issues, including absences and tardiness; giving input to manager on staff performance; representing unit at meetings.

* Monitor the operations phone queue to ensure proper staffing at the appropriate times to provide timely support and services to the sales team in conjunction with managing the daily work queues.

* Develop and coordinate/deliver operations and best practice training to new broker/dealer colleagues. Develop/coordinate the delivery of operational and best practice training for new processes and/or functions existing colleagues of broker/dealer. Develop and maintain training guides and reference materials as necessary.

* Generate and analyze operations exception reports to identify transactions outside the accepted norm to resolve and comply with industry regulations and standard operation procedures. Generate and analyze operations reports to identify accounts or transactions requiring additional due-diligence review. Work with Registered Representative or his/her designated representative to resolve issues which may result in market risks, fees, and charges to clients or the broker/dealer. Document findings and report to manager and the appropriate unit manager.

* Exercise good judgment according to current policies and procedures when resolving processing situations and override procedure or seek assistance for exceptions when necessary to ensure customer satisfaction while still limiting exposure to the company. Research and provide solutions-oriented resolutions to more complex and unusual customer transactions or inquiries by analyzing information from multiple sources and utilizing advanced training and problem-solving skills.

* Perform updates AIS intranet site to ensure contents are current with practices by consulting associates in Operations, Compliance, and/or Sales.

Education

Bachelor's Degree or equivalent combination of education and experience Required

Experience

* 3-5 years Brokerage operations experience plus the demonstrated ability or experience providing work direction and leadership Required

* 5-7 years Brokerage operations experience, plus the demonstrated ability or experience providing work direction or leadership and investment suitability review experience. Preferred
