Job description

The ideal candidate will be responsible for managing client support functions including gathering client information, organizing case files and evidence, intaking client contracts, tracking petitions, and working with attorneys. Tasks require problem-solving skills, knowledge of company procedures, and judgment within precedent, subject to approval. Assist with the coordination in the collection and organization of documents and information from various cases. This candidate should feel comfortable relaying messages between various groups and keeping all documents important to the cases they are working on organized.


Responsibilities

• Assists attorney in gathering client documents and filing: I-526, DS-260, I-485, I-829, etc.;

• Assists clients in subscribing; reviews client contracts for accuracy and completion, ensuring subscription qualification in accordance with the compliance manual;

• Monitors calendars to meet government deadlines for each client: I-526, DS-260, Interview, I-829, I-551, etc.;

• Confirms case status with attorneys; communicates case status to agents and clients;

• Provides other support to external stakeholders such as agents and attorneys, as requested;

• Fields phone calls and emails from clients and agents;

• Potential client outreach; Provides support to sales staff;

• Intakes and process Preferred Return request forms for payment;

• Manages redemption agreement distribution, acceptance, and payment;

• Creates, generates, compiles, and edits a wide variety of reports and spreadsheets after analyzing and manipulating data sources;

• Compiles fund bank account tracing for form I-829;

• Intakes and process Marketing Consulting Fee and Maintenance Fee request forms for payment;

• Compiles data and completes the annual I-924a filing;

• Ensures that procedures are documented and updated as needed; implements process improvements; analyzes opportunities to add value to job accomplishments;

• Manages annual K-1 distribution

• Salesforce client database management & reporting

• Investor communications

• Updates job knowledge by participating in educational opportunities, reading professional publications


Qualifications

• Associate Degree in Business/Administration or Paralegal Certification.

• Minimum of 4 years of experience in an administrative position. Experience in a law firm or corporate legal department is preferred.

• Advanced competencies in Microsoft Office tools (Outlook, Word, Excel, and PowerPoint).

• Effectively works in a team-oriented environment.

• Demonstrated ability to efficiently handle multiple tasks and prioritize workload accordingly with the ability to work independently and think critically.

• Exceptional customer service skills.

• Flexibility and desire to contribute when and where needed.

• Attention to detail and high-quality work product.

• Superior organization skills.

• Ability to maintain a high level of confidentiality and handle sensitive information.

• Excellent verbal and written communications skills required. Must be able to effectively communicate at all levels of the organization and with external contacts.
