Position Description:
This position is responsible for coordinating the logistics and execution of the new employee pre-hire onboarding process and facilitating the HR induction for all new joiners. In addition, overseeing the Fitness & Propriety (F&P) processes for Senior Manager and Certified populations as well as managing the process of onboarding, invoicing and off-boarding for continent workers is within the scope of this seat. This role will be strategic in partnering with the Recruiting Operations team in redesigning and implementing a new workflow for our onboarding process as we work to create new efficiencies and systematize historically manual processes to provide best-in-class support for new employees and internal hiring managers.
RESPONSIBILITIES:
- Serving as the point person for candidates by facilitating in-person, phone, and videoconference interviews
- Being responsible for onboarding of all new hires - including but not limited to:
- Communicating with candidates through onboarding process
- Processing and adjudicating background checks
- Supporting onboarding logistics such as file clearance and Right to Work applications ensuring all pre-joiner processes are completed
- Managing new hire paperwork at point of offer acceptance and escalating disclosures for review when applicable
- Partner with internal stakeholders to ensure all necessary actions are taken prior to the new hire start date including, but not limited to: preparation of an onboarding plan, coordination of logistics for training assignments, collaboration with T&OD on new hire orientation training, assistance with arranging technology for remote employees, management of FINRA registration process in partnership with Legal and Compliance, etc.
- Answering email queries within short timescales
- Managing the processes of onboarding, off boarding and invoicing for the non-permanent workers
- Being responsible for the SMCR database:
- Acting as System Administrator for the SM&CR system, ensuring documentation is accurate and updated at all times; running processes and drawing reports as required
- Overseeing completion of Fitness & Propriety (F&P) processes for Senior Manager and Certification populations (Initial, Ad-hoc, and Annual F&P)
- Managing the Fitness and Propriety Assessment (initiating, monitoring the progress)
- Assist with annual SM&CR reviews and certification process
- Driving improvement of SM&CR Frameworks (Processes, Tools & Templates, Guidance Documentation and Training)
Position Requirements:
- Bachelor's degree from an accredited college/university
- Experience in coordinating the logistics and execution of the new employee pre-hire onboarding process
- Knowledge of immigration documentation
- Knowledge of SMCR would be a plus
- Ability to complete tasks with accuracy and speed strong ability to handle confidential information with discretion and maturity
- Strong organizational skills, detail-oriented, and ability to prioritize workload independently
- Excellent problem solving capabilities and customer-service mindset
- Possesses a proactive approach to accomplishing work, has immaculate follow up, and demonstrates the flexibility to meet business needs with a focus on achieving results
- Ability to multi-task and work in a fast-paced, energetic environment
- Maintains a high degree of professionalism, ability to interface with all levels of the company, and maintain confidentiality in sensitive matters
- Strong interpersonal skills and ability to network with various departmental personnel and outside parties
- Possess excellent written and verbal communication skills
- Excellent technology skills, specifically Microsoft Word, Excel, and Outlook
- Knowledge of Workday would be a plus
