Job Purpose

As the HR Onboarding and Administration Officer (Freelancers) you will provide a customer-centric onboarding, processing, advisory and auditing function for Save the Children's creative freelancers, partnering with the creative and media teams across Save the Children UK and Save the Children International.

Working with freelance creative talent from around the world you will have a proactive approach to onboarding, a brilliant eye for detail, and empathy for the complexities of international working environments.

This role will sit within the SCUK HR Service Centre, however, you will be solely accountable for the service requirement of specific client-areas in both Save the Children International and SCUK, and so being able to work autonomously is a must.

This is a new role, created so there is a dedicated position to process onboarding for the freelancers consistently in line with compliance requirements and so you will have the opportunity to Imbed new ways of processing and working, working with key stakeholders to ensure that the freelancers and managers are well supported.

This role is part time for 2.5 days per week (17.5 hours)and flexible in regards to how the days/hours are worked.

Main Accountabilities

Promptly and accurately communicate with freelancers from around the world in the process of engaging them to join the Save the Children creative roster
Rigorously check and record evidence of pre-engagement checks, including vital safeguarding checks
Maintain the relationship with the DBS checking service, to ensure prompt action on all requests
Update and develop the templates, guidance and documentation to support an outstanding service to the client-area
Ensure that updates, including relevant systems, are undertaken in a timely and accurate manner; and that records are filed in line with document storage and retrieval protocols
Review all processes on a regular basis to ensure efficiency and accuracy is optimised
Maintain up to date knowledge of changes to policy and procedures and legislative changes in order to ensure that information and advice provided to customers reflects up to date position
Make informed judgements about when to refer queries to other HR colleagues including specialist teams
Proactively solicit feedback about the service and use this to identify areas for improvement
Demonstrate a customer orientated approach in delivery of services and completion of work to agreed time and quality, whilst ensuring that stakeholders are kept up-to-date on progress

Person Profile

Experience

Evidence of outstanding customer service excellence, high standards of attention to detail, quality, accuracy and responsiveness
Evidence of relationship building skills
Evidence of continuous process improvements in order to deliver service improvements
Experience of administration ideally within a busy/complex environment

Abilities

Excellent written and verbal communication skills to include the ability to respond to written correspondence and queries
Strong diagnostic problem-solving skills to include ability to understand and resolve queries
Ability to work to tight deadlines whilst maintaining 100% accuracy
Ability to use information systems in order to capture and retrieve data; store employment records; and enable reporting

Aptitude

Remote Working:

The majority of SCUK employees are currently working remotely within the UK in line with UK Government guidance. Commencing July 2021 we will transition to flexible and hybrid ways of working (i.e. a mixture of remote/home and office-based working) as social distancing restrictions ease.
