Job description
Key Purpose
To be responsible to the Head of Campus Hub for the effective delivery of a wide range of registry and office activities to support the effective functioning of the Hub.
To provide potential students with very high quality information, advice, support and administration, ensuring their journey through admission and enrolment into the college is as seamless as possible.
To line manage a small team of Registry and Admissions Officers.
Registry and Admissions Responsibilities
To be responsible for the student journey through admission and enrolment into the college; ensuring that students receive a very high standard of customer service throughout, that they are fully provided with the necessary information at each stage, and that all the necessary information the college requires is collected accurately and efficiently, either directly or through on-line applications through the college web site.
To provide high quality information, advice and guidance to potential students. To refer students on to staff with specific expertise, where necessary. In all cases to ensure the potential student receives all the required information to make a decision.
To participate in recruitment events on- and off-site, providing information and advice in a range of settings including open days, schools, colleges, voluntary and community organisations, libraries and fairs. To follow up enquiries and leads gathered to enable the college to actively recruit new learners.
To contribute to the content of targeted publicity materials (web based and other media) to ensure that information on courses, fees, admissions and progression routes is easily assessable to the public.
To organise student interviews in consultation with key curriculum staff, to ensure necessary support to teachers is provided and to ensure all follow up action is undertaken.
To assess learners' eligibility for funding and any fees payable, in line with the College's policy. To receive fee payments and undertake till reconciliation and banking of fees, as required.
To accurately and efficiently input student data, including enquiries, applications, interview details and outcomes, offers, acceptances, enrolments and amendments to student records on the College student record system, as required, with full attention to detail. To check this work for errors and rectify any issues that occur.
To maintain an accurate paper and/or electronic filing system for learner records, as required; to undertake regular audits of student files to ensure compliance with internal / external audit requirements and to maintain student files securely to comply with Data Protection requirements.
To contact learners, during and after their course, to gather information, promote progression onto other courses and to gather destination data as appropriate.
To undertake reception duties, receive visitors, deal with student and course information enquiries and process incoming and outgoing mail.
Team Leader Responsibilities
Line manage a small team of Registry and Admissions Officers, ensuring that they deliver the Registry and Admissions Responsibilities to the highest standards.
Ensure the effective management, appraisal, discipline, personal and professional development of all staff within the team.
Train, coach and guide team members as necessary to achieve the objectives above.
Contribute fully towards the planning of applications and enrolment processes, working closely with the Student Services Hub Manager.
Work with the Student Services Hub Manager to ensure that staff resources are efficiently deployed where they are most needed.
Work with curriculum and MIS colleagues to ensure the course offer is current and correct.
Wider Responsibilities
To ensure that all activities are carried out to meet service standards, including the Matrix standard for information, advice and guidance, and contribute to service targets.
To attend and contribute to internal and external meetings including relevant team and training events and partnership meetings, representing the college where required.
To work flexibly within the student services hubs, cover shift patterns within agreed opening and closing times (including evenings and weekends where required), covering work of absent colleagues where required, and providing support to other hubs if necessary.
General
To implement College policies particularly those relating to equality of opportunity, health and safety and data protection
To implement Health and Safety and security procedures in accordance with statutory and College requirements
To undertake appropriate self-development and training activities and regularly review their performance of duties with the line manager for the post
To undertake any other duties consistent with the key objectives and/or duties of the post

The nature of this post means that the post holder may need to travel to undertake duties at other College campuses as and when requires as well as external venues.
