Job description

WANTED!! Fee Earners Team Secretary for an international law firm for their HQ based in central London to support a team of fee-earners

The role requires a robust and resilient individual who enjoys fast-paced, dynamic and demanding working environment with experience working and supporting partners, directors and or associates within professional services.

This is a permanent opportunity
Salary: £ 32,000 - £36,000 per annual plus benefits


Duties
  • Diary management, arrange meetings and conference calls
  • Management of mailboxes on behalf of solicitors as required
  • Booking video/conference calls, meeting rooms and required refreshments
  • Managing travel arrangements as required e.g., collating itineraries and booking train tickets booking venues where necessary.
  • Managing all telephone enquiries to the team in a professional and polite manner, taking accurate messages and / or directing calls appropriately
  • Proof-reading of all documents to ensure the delivery of work of the highest quality
  • Any general correspondence as may be required from time to time
  • Amending and formatting agreements/documents
  • Carrying out PDF to Word conversions and vice versa
  • Copy-typing and digital dictation
  • Collating all indexing on legal documentation and setting up files
  • Production PowerPoint presentations
  • Liaison with Business Development, Marketing, Events and Finance Teams across the business
  • Working additional hours as required to complete the task(s)
Experience:
  • Experience of working within a busy corporate environment is essential
  • Complex diary management, high attention to detail and accuracy
  • Excellent client care skills
  • Ability to manage queries from internal and external clients
  • Excellent organisational skills - the ability to take responsibility for own tasks and prioritise work in a calm and efficient manner
  • Demonstrate proactivity and the ability to work on own initiative
  • Highly developed time management skills - working to very tight deadlines
  • Excellent communication skills - the ability to communicate in professional manner with people at all levels
  • Demonstrate flexibility/adaptability in meeting internal and external clients' demands

Skills

High levels of IT literacy in Microsoft Word, Outlook, Excel, and PowerPoint
Highly developed administrative skills with the ability to multi-task under pressure
