Job description

The Administrative Assistant will provide sophisticated and diverse executive level administrative support for the SVP of Human Capital as well as ad hoc requests as necessary from other corporate executives. The Administrative Assistant will interact with a diverse mix of both internal and external contacts at all levels, handle details of a confidential and critical nature, and must function effectively in a fast-paced professional environment. Independent judgment is required to plan, prioritize, and coordinate a diversified workload, and recommend changes in office practices or procedures. At times, this role will serve as the Ambassador of the executive(s) being supported.

Job Requirements

  • Manage executive calendar; schedule appointments and commitments to improve executive's work time while ensuring priorities are met.
  • Maintain executive workflow; keep executives apprised of relevant business matters; anticipate needs and de-conflict schedules as needed.
  • Act as the 'gatekeeper' to the SVP of Human Capital, managing correspondence, fielding questions and assisting with the reorganization of schedules as needed.
  • Arrange travel and provide clear and comprehensive travel/meeting details for executives and other designated department staff.
  • Plan and execute all logistical aspects of executive meetings and events including securing internal or external meeting space, making meal arrangements, ensuring technology requirements.
  • Prepares and processes executive expense reports.
  • Compose, proof, format and distribute internal and external correspondence.
  • Maintain organized filing systems (including electronic), ensuring records are kept in an organized and readily accessible manner.
  • Maintain organizational confidence by keeping information confidential.
  • Maintains office supplies inventory by checking stock to resolve inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Assist with gifting initiatives and event planning as necessary.


Education And Experience

  • Bachelor's degree preferred, but not required.
  • Minimum of 2 years' experience as an Administrative Assistant.


Skills And Abilities

  • Solid understanding of general business administration practices and procedures.
  • Demonstrated proficiency administrative writing skills, reporting skills, supply management, scheduling, Microsoft Office Skills, organization, time management, presentation skills, equipment maintenance, travel logistics, event planning, and verbal communication.
  • Effective and proven project management skills.
  • Proven track record to establish relationships and work with all levels of individuals internal and external to the organization.
