Job Description
The Opportunity
The Human Resources Generalist reports to the Director of Human Resources. This position will assist with the administration of the day-to-day operations of the human resources functions and duties with a special focus on the administration and coordination of the KIPP SoCal employee onboarding program.
HR Administration / HRIS / Personnel Records
- Assist in the management of the day-to-day efficient operation of the HR department and the daily administration of HR services
- Manage employee onboarding & offboarding processes and data, including background checks, I9s, Live Scan clearance, new hire orientation
- Process HR Actions and Personnel Change Letters in Kronos HRIS
- Create and send renewal and reasonable assurance letters to team members
- Complete and process Unemployment Insurance claim letters
- Ensure all certified and non-certified positions within the network have necessary paperwork for their position
- Manage HR HelpDesk tickets and generate applicable reports
- Maintain confidential employee files and the HR filing system in compliance with applicable legal requirements, including but not limited to the management of employee records, personnel files, I-9, livescans, and TB clearances
- Maintain and expand knowledge and understanding of existing and proposed Federal, State, and Department of Education laws/regulations affecting human resources management
- Identify onboarding, offboarding, and HelpDesk trends that could impact KIPP SoCal Public Schools' objectives and/or operational resources
- Effectively utilize and manage HR systems to obtain, store, and analyze pertinent data and information
- Maintain employee files as needed
- Provide HR administration support to the Director of Human Resources.
- Provide employees and managers guidance on a variety of day-to-day HR policies and processes, including but not limited to new hire orientations, volunteers, job changes, separating from KIPP SoCal, compensation scale placement, and compliance requirements
- Notarizes official documents as needed
Compliance
- Ensures all new hires are in compliance with the needs of their roles prior to their start date
- Oversees DOJ clearance and compliance
- Follow timeline and process established to notify employees and managers of potential non-compliance with TB, and training requirements
- Assigns and manages SafeSchools or other applicable training for new hires and continuing staff, ensuring that all team members are compliant with applicable legal requirements and generate applicable reports
- Ensure overall compliance is being adhered to for employees, volunteers, and other stakeholders as applicable, regarding state, local, and federal laws, and authorizer, KIPP SoCal, and/or collective bargaining agreement policies
Special Reports & Projects
- Develop, prepare and generate special reports pertaining to employee personnel information and data, including but not limited to benefits, headcount, helpdesk, and data collection (SafeSchools, TB clearance, etc)
- Perform additional tasks and duties as assigned
School and Community Relations
- Cooperate and share professionally with other members of the staff
- Communicate HR-related information to School Leaders and school site staff in a timely manner, as appropriate
Qualifications
- A bachelor's degree or equivalent or three to five years related experience and/or training, or equivalent combination of education and experience
- At least two (2) years of broad HR generalist experience, including experience with on-boarding and off-boarding
- Solid knowledge of applicable federal and state labor laws
- Knowledge of personnel policies and practices
- Analytical and problem-solving skills, the ability to focus on details, and strong spreadsheet experience
- Proficiency in Goggle suite: Gmail, Google Docs, Google Forms, Google Sheets, Google Slides.
- Proficiency in Asana, Slack, Zoom
- Experience with Zendesk
- Experience with HRIS, preferably Kronos
- Highly organized, able to handle multiple priorities
- Excellent time management skills with a proven ability to meet deadlines
- Attention to detail
- Ability to function well in a high-paced and at times stressful environment
- Integrity and demonstrates good moral character and initiative
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills required to work with a broad group of stakeholders with different interests and needs

- Relationship focused, with an approachable style and ability to establish rapport with team members and key partners at all levels
- Strong teamwork skills, with the ability to know when to ask for help and guidance
- Unwavering integrity and ability to handle and maintain sensitive and confidential employment information with discretion
- Ability to break down complex information into comprehensive parts, ask questions, synthesize and analyze
- Resourceful in navigating various organization policies and processes, in order to ensure a comprehensive response to any team member need, or inquiry
- Expected to complete notary signing agent training and authorization. KIPP SoCal will pay for related expenses
