Position
A Private Wealth Advisor team within our Private Wealth Management business unit is seeking a motivated individual to join its growing team as a Client Associate in our Newport Beach office. The Client Associate will work with our Private Wealth Advisor team members and will interact directly with high-net-worth clients. The ideal candidate will be positive and thorough in their work, exceeds client's expectations, operates with a high attention to detail, has strong follow through, communication, organization, time management and problem-solving skills, and is driven to develop and grow in their role.
Responsibilities
- Provide top quality service to clients and complete operational and administrative aspects of client relationships
- Handle daily, monthly, and annual operational aspects of client relationships
- Manage onboarding process for new clients, new accounts and existing account maintenance, by obtaining all necessary approvals and ensuring all client documentation is returned, completed and approved
- Process all client cashiering requests (money market redemptions, wires, checks, journals, check deposits, etc.)
- Assist with service issues including fraud, travel notices, overdraft/declines, etc.
- Coordinate/Schedule client review and assist with preparation and follow-up
- Review daily activity and reconcile current client activity, funds transfers and previous day's activity and trades against various clearing firm systems to ensure accuracy
- Communication with CPAs to facilitate estimated tax payments and other requests
- Completing investment and insurance/annuity subscription documents
- Cash management & RMDs
- Facilitate charitable gifting and communicate directly with the receiving organization
- Enroll and assist clients with online access
- Responding to account activity and statement inquiries
- Assist with client life events (i.e. Estate settlement, Beneficiary IRAs, etc.)
- Generate expense reports for submission using Concur
- Communicate with local management and operations staff
- Prepare client correspondence, obtain necessary management approvals, and transmit
- Manage ongoing insurance/annuity premium payments, annual exclusion gifts, 529/UTMA/Trust contributions, and annual qualified account funding
- Assist in preparation of key documents, presentations and reports for client meetings
- Maintain client files, including pre- and post-meeting checklist and follow-up
- Attend compliance and continuing education training sessions as required by regulatory agencies and the firm
- Additional duties as assigned
Qualifications
- A BA/BS is preferred; relevant work experience is required
Skills
- Excellent client communication, service, interpersonal, organizational skills
- 2+ years prior client service experience within financial industry, or equivalent experience, required
- Series 7 & 63 required or in the process of obtaining
- Detail-oriented with ability to prioritize and organize workflow
- Ability to work in a fast-paced, high intensity work environment as well as manage multiple tasks effectively with frequent interruptions
- Strong Microsoft Office skills (Excel, PowerPoint, Outlook) and prior CRM (Salesforce, Dynamics) preferred
