The Position
The Senior Executive Assistant (SEA) will provide high-level administrative support to the President of The Broad Foundation (TBF) and the Chief Strategy Officer (CSO) and manage overall administrative functioning of the Office of the President including calendar and scheduling, information flow, communication, meeting logistics and preparation, and travel along with special projects as assigned. This position will serve as the principal administrative contact and liaison with external and internal contact for the President.
The ideal candidate will have exceptional emotional intelligence and able to effectively communicate and coordinate with a wide range of people. The ideal candidate will be a gatekeeper and partner to the President, help manage priorities and time while exercising the utmost discretion and judgement and is a highly adept communicator across mediums. Responsibilities:
- Organize complex calendars for President and CSO, proactively identifying and resolving scheduling issues
- Manage correspondence and information flow for President, effectively prioritizing while ensuring equitable access
- Ensure President and CSO have necessary information and preparation for internal and external meetings; conduct research and/or gather and analyze necessary information from relevant team members
- Review, assess, route, answer and monitor follow-up action steps in coordination with CSO to move President's priorities forward
- Manage logistics and event planning for events such as the bi-annual Board of Trustees meetings; work closely with Special Projects Manager on information flow and written materials
- Answer and route phone calls, mail and e-mail, handling a wide range of information dissemination; proactively compose and edit letters, email and other correspondence
- Develop, implement and administer departmental office systems and procedures for TBF and the Office of the President.
- Provide additional administrative support including guest arrivals, expense reports, travel coordination and meeting/logistics preparation, filing, copying, mailing as required.
- Manage the office-wide contacts through CRM (Salesforce)
- Work closely with Workplace Manager who oversees physical office and vendor management
- Complete other ad hoc and special projects as assigned - as well as personal events and/or family needs.
- 10+ years of related experience required
- Excellent time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executive team
- Strong analytical and organizational skills with a high attention to detail

- Demonstrated experience, ability and temperament to work with sensitive information, operate with a high-level of discretion, confidentiality, and exercise good judgment
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams)
- Flexible hours as dictated by the needs of the organization and the President

Compensation is competitive and commensurate with skills and experience. We offer excellent benefits including a hybrid (remote and office) workplace, a variety of health/wellness plans, and a strong 401(k) plan.
Location
This position is based in Los Angeles, California. FOFS is currently working remotely. In the second quarter of 2022, we will be implementing a hybrid work model in which some weekly in-office attendance will be required.
