Reporting to the Director of Accountant, the Grant Accountant is primarily responsible for program financial management of assigned contracts, and, including accounting for the revenues, allowable expenses and receivables of assigned programs, timely submission of grant claims and financial reports to grantors as required by agreements, preparation of program budgets, and coordination of program audits. Prepares timely analysis, program financial reports, and presents to management at monthly budget reviews.
ESSENTIAL FUNCTIONS:
- Establish and maintain relationships with local, state, and federal agencies and associations to remain current on issues that affect the programs and services.
- Prepare and review for accuracy and completeness all assigned contract claims prior to posting and submission to funding agencies.
- Maintain accurate records and supporting materials for all transactions and correct/complete data where necessary.
- Produce monthly reports indicating status of each assigned program and related grants, including analysis and variance explanations.
- Examine grant activities for compliance with ECS Cost Allocation Plan, granting agency contract(s) and policies, Office of Management and Budget (OMB) guidelines, etc.
- Prepare budgets for assigned Grants / Programs in collaboration with program Director and Director, Accounting.
- Coordinate import of approved program budgets into accounting system.
- Follow up with granting agencies to ensure timely receipt of funds for claims.
- Develop and prepare a variety of financial and administrative reports for state, federal, foundation, funder and internal reporting requirements.
- Contact government agency and public agencies during the course of audits to obtain or provide information.
- Assist Director, Accounting with preparation of reports for the Finance Committee - cost analysis and variance explanation for grant related programs.
- Create month end journal entries as appropriate for review and posting by Director, Accounting or other Accounting Department staff.
- Review and post journal entries created by other Accounting Department staff as needed.
- Assist Director, Accounting in coordinating / preparing annual financial audit work papers for timely submission to outside auditors.
- Lead grant related program audits including quarterly monitoring and program audits.
- Prepare assigned Bank Reconciliations to ensure cash amounts in agency's accounting ledgers agree with bank balances.
- Prepare and process Indirect Cost Allocation in compliance with agency's Cost Allocation Plan and contractual requirements for assigned contracts/programs.
- Trains and/or assists in training and cross training employees.
- Provide monthly financial reports and lead budget reviews for assigned programs/contracts within established timelines.
- Review and approve Microix transactions for accuracy in a timely manner and in accordance with established policies and procedures.
- Prepare income and expense projections for assigned contracts/programs for use in budget development, cash flow, and other financial planning activities.
- Provide accounting support and communication interfaces for capital budget expenses related to assigned contracts/programs.
- Performs other reasonably related business duties as assigned by the Director, Accounting or CFO.
EDUCATION AND EXPERIENCE: Bachelor Degree in Accounting, Finance or Business. Five years experience in a position with fiscal financial responsibility or reporting or equivalent combination of experience and training, and federal funding requirements. Advanced Excel skills and experience with MIP accounting software is preferred. Federal and State grant experience, fund accounting knowledge, familiarity with OMB Guidelines, and experience working in a non-profit organization a plus.
OTHER/SPECIAL: Required: Ability to pass a physical examination and tuberculin skin test. Fingerprint clearance and criminal check required. Verification of current driver's license and insurance required for personal car usage. Must provide proof of COVID-19 vaccination status.
