Job description
We are a national Commercial Real Estate firm with a portfolio in the San Diego marketplace that is looking for a Facilities Coordinator. Under general direction of the Senior Facilities Manager, assists the Facilities Group in coordinating all facilities-related activities for assigned properties or regions. Investigates, reviews, and recommends improvements in areas of responsibility. Assists in other areas of departmental responsibilities as needed.
What You Will Be Doing
- Assist with the management of programs and business process.
- Coordinate, manage and maintain emergency programs including Emergency Response Plans.
- Manage, maintain and track Environmental Protection Agency reports for our o; including but not limited to: DEP Report tracking and General Permit Discharge Monitoring Reports for assigned properties or regions.
- Maintain and work with contractors to update CMMS system; work closely with the building engineers to track maintenance requests to completion in a timely manner. - Maintain records of service for reporting purposes.
- Upload CMMS (Computerized Maintenance Management System) data and supporting documents to Maintenance Connections software as well as maintaining CMMS physical files.
- Manage, maintain and track the properties Mechanical and Life Safety Regulatory Permit process; including review and tracking logs.
- Assist in setting up, drafting, reviewing and maintaining a standard operating procedure (SOPs) program.
- Maintain effective working relationships and coordinate efforts closely with other departments, including Development, Accounting, and IT to complete projects. Represent the company to outside agencies and organization.
- Assist in the preparation of and adherence to annual Facilities budgets.
- Organize and support the Facilities Department staff for new initiatives.
- Recent college graduate with a BS degree in an engineering discipline or an equivalent combination of education, training and additional project management experience is required.
- Computer proficiency with CAD, Drawing Archive Systems, Word, Excel, Outlook, Visio and Microsoft Project
- Requires strong verbal and written communication skills and effective organizational and problem solving skills.
- Requires the ability to maintain an approachable, friendly demeanor and work with competing priorities and demands.
- Must be able to work with interdepartmental offices within the organization.
- Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities
