Looking to join a Unicorn start-up headquartered in Silicon Valley as an Office Manager? This could be the opportunity for you.
Qualifications
- 5+ years of relevant experience in an administrative role working with a SaaS start-up that's growing rapidly.
- Manage all office administration for a 200-500 person company (Here, you'd be supporting 150+ employees in the US.)
- Company background working for a SaaS start-up with large Sales and Customer Success teams as the majority of employee headcount.
- Must be located within an hour's commute to the SF Office and able to be physically present there daily upon reopening office. Prior to reopening the office, must be willing and able to go
- Demonstrated ability to anticipate the organization's needs and solve problems in advance, with experience and sensitivity in managing confidential information discreetly.
- Ability to research good practices and present information.
- Experience working in Gmail and GSuite, Excel, PowerPoint, Word.
- Experience in planning and managing events.
- HR experience desired.
- Experience with compliance work, like verifying I9s (AKA employment eligibility) and handling immigration verifications.
- Excellent verbal and written communication skills, organized, attentive to detail, timely, pleasant, friendly, professional, and willing to take on various tasks as they arise.
- Being eager, energetic, and organized is very important.
Responsibilities
- We are looking for a dependable, personable, and organized Office Manager to manage the day-to-day needs of our business teams.
- You will need to have a keen eye for detail, have good problem-solving skills, and like working in a fast-paced environment.
- Manage all office administration for a 125+ team in the US.
- Ensure people in the office or remote can function smoothly. The person needs to be a go-getter and will be responsible for everything from stocking supplies, arranging meals and snacks, organizing business review meetings, or conducting townhalls.
- Responsible for corporate event planning, including catering coordination and swag distribution to build company culture.
- Demonstrated ability to anticipate the needs of the organization and solve problems in advance, with experience and sensitivity in managing confidential information discreetly.
- Manage outside vendors, collaborate with IT team, office/equipment procurement, and coordinate the shipping and receiving from employees.
- Coming up with, and executing from start to finish, an office re-opening plan.
- Managing onboarding for employees - it's critical to make everyone feel welcome before and after their start date.
- Acting as a "travel director," answering regular employee queries, and/or directing them to the proper person to do so for travel arrangements.
- Managing regular gifts and awards (gift cards, gift baskets, swag, etc.)
