Job Summary

Apex Systems is seeking an Office Manager that will manage all aspects of a brand new, state-of-the-art conference center. The Office Manager will be responsible for managing the conference center AV system, which includes Cisco videoconferencing software, and Extron and Crestron hardware.

Responsibilities

  • AV management includes providing hands-on troubleshooting during events, fully running the system during department events, training speakers on the basic use of the Creston podium screen, and organizing and tracking inventory of mics, clickshares, and assisted listening devices.
  • The Office Manager will receive an AV system orientation and in turn will be expected to train frequent users in and outside of the department.
  • The Office Manager will attend and monitor most events to ensure room integrity is maintained, resolving AV/IT problems, educating hosts and guests on building policy as needed, handing out and collecting AV equipment, and determining cleaning needs after an event.
  • The Office Manager will ensure smooth-running, effective events, consulting with clients and stakeholders on all details regarding events and event planning.
  • This person will liaise with building management, Facilities, IT-AV Support Team, and the administrative teams of frequent users.
  • The Office Manager will be responsible for overseeing/managing outside contractors (e.g., janitorial and AV equipment service).
  • The Office Manager will manage all reservations, as well as maintain an online calendar following established priorities, other departments, and clients, handling schedule conflicts with tact and diplomacy.

Required Qualifications
  • Bachelors' degree in related area and/or equivalent experience/training.
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
  • Experience running and troubleshooting AV equipment during live events.
  • Proficiency with Google Calendar.
  • Proficiency with Zoom.
  • Ability to effectively work with invited guests, donors, government officials and university VIPs.
  • Demonstrates good judgment in making decisions and managing events. Skill in effectively meeting budget and time constraints.
  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus.
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
  • Highly developed judgment, decision-making and problem recognition/avoidance/resolution skills, including skill in determining those issues/problems that need to be brought to management's attention.
  • Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
