The Alumni Volunteer Engagement Department, within SAA, supports a number of initiatives focused on engaging alumni in the life of the university. The department oversees an awards/recognition program honoring alumni who demonstrate extraordinary service to Stanford, organizes the STARS Volunteer Leadership Conference for alumni leaders, manages Beyond the Farm Day of Service, oversees the Stanford Wine Program, and serves as a resource for campus partners and alumni regarding volunteer opportunities for alumni.
If you have an understanding of alumni relations/volunteer management, appreciation for diversity and inclusion, and a track record of collaboration and project management, this might be the job for you. As a member of a four-person team and reporting to the Associate Director of Alumni Volunteer Engagement, you will work closely with internal SAA Departments including Marketing, Digital and Data Services, Alumni Communities, and Alumni Events, as well as colleagues from the schools and campus departments and alumni volunteers.
As the Program Manager, you will be responsible for project management of key SAA programs including Beyond the Farm Day of Service, a global program that engages 2000 alumni in community service projects annually; the Stanford Wine Program, an annual revenue-generating venture for the Alumni Association; and alumni volunteer engagement and recognition efforts as needed. You will assist with marketing, planning all/part of alumni programs, events, and/or other alumni initiatives.
As the lead for Beyond the Farm, you will: oversee the project leader recruitment process, create and maintain the training materials and ensure that the online tools provide a positive experience, develop and coordinate an email marketing schedule and timeline, identify target alumni populations, monitor participation numbers and provide assistance to projects as needed, collaborate with marketing colleagues on messaging and content, maintain regular communication and provide guidance to project leaders throughout the program's duration, and create success metrics to measure the outcome of the program.
For the Wine Program, you will: coordinate the annual wine submission procedures and serve as the point of contact for interested wineries, arrange a professional blind tasting event, create marketing content for the sales website, email campaign, and printed brochure, set up the marketing timeline, identify target alumni populations, serve as the liaison with external business partner regarding web content, customer experience, and sales tracking; provide front line customer service as needed, maintain and update database of alumni in the wine industry and prospective winery partners, serve as the liaison with vendors, manage inventory, warehousing, and internal sales; monitor the budget, evaluate the program's success, and make recommendations for future programs.
Additionally, you will assist with management of the Stanford Associates (the university's honorary organization for alumni volunteer service), including helping to staff the Associates Board of Governors, overseeing a grants program to fund new alumni engagement initiatives, and assisting with outreach and communication efforts for the Associates awards program.
You will also be a key resource for alumni and campus partners regarding Stanford volunteer opportunities and have the responsibility of leading the annual campus-wide effort to track volunteer service in the university's central database. You will advise alumni interested in volunteering for Stanford and responds to inquiries from university colleagues seeking alumni volunteers for projects and programs.
In this role you will:
● Manage the global Beyond the Farm Day of Service project, Stanford Wine program and other volunteer initiatives (including assisting with Stanford Associates) as assigned.
● Develop contacts and maintain relationships with campus partners and vendors.
● Plan annual winetasting event, manage outreach submission process, serve as contact with wineries.
● Collaborate and coordinate with departments and schools to achieve the goals of Beyond the Farm and other volunteer initiatives.
● Assist with Stanford Associates grants and awards programs, including marketing, outreach and communications to campus partners and volunteers.
● Oversees the online presence for the wine program, Beyond the Farm, and volunteer initiatives.
● Research and analyze customer purchasing habits and wine industry trends.
● Build and maintain relationships with campus partners and vendors.
● Work with internal departments to identify and implement new markets and develop program strategies.
● Collaborate with internal departments on email, web, print communications and branding for Beyond the Farm, Wine Program, and volunteer initiatives.
● Create and maintain marketing timelines, track sales data, identify customer trends, participate in budgeting, forecasting and negotiating, evaluate customer satisfaction.

To be successful in this role, you will bring:
● Bachelor's degree and three years of relevant experience or combination of education and relevant experience.
● Excellent communication skills (verbal and written) and the ability to represent the university professionally both internally and externally
● Strong project management skills.
● Demonstrated experience with volunteer development and oversight.
● Strong interpersonal, team, and leadership skills; tact and flexibility in working with diverse population groups.
● Sound judgment, the ability to analyze problems quickly and accurately, and the ability to develop practical and effective solutions to solve a variety of problems.
● Computer proficiency and the ability to learn new systems.
● Valid California Non-commercial Class Driver's License.
In addition, preferred requirements include:
● Stanford-specific knowledge and experience is a plus.
PHYSICAL REQUIREMENTS*:
● Constantly perform desk-based tasks.
● Frequently stand/walk, sit.
● Occasionally grasp forcefully, use a telephone, lift/carry/push/pull objects that weigh up to 40 pounds.
● Rarely writing by hand, sort/file paperwork or parts.
WORKING CONDITIONS:
● Occasional work on evenings and weekends.
● May work outdoors.
● Some local or domestic travel.
