Job description
We are searching for an outstanding Executive Assistant to support our Sr. Vice President of Human Resources, our General Counsel, and other team members at our corporate office located in Walnut Creek, CA. This position will be involved in a lot of exciting projects within the HR department and will handle very sensitive employee information regarding compensation, service and retirement awards, and bonus and stock option reports. We need someone who is excellent at both administrative and organizational activities as well as maintaining detailed spreadsheets in Microsoft Excel. This position touches many of the activities in Human Resources from interview scheduling, arranging travel and coordination of large meetings to greeting candidates, helping with onboarding schedules, and assisting with headquarters employee relations activities.
Our office is located just a block from the Pleasant Hill Bart Station and is near great restaurants and the Iron Horse Trail, with a short drive to downtown Walnut Creek. Project Work
MEASURES OF SUCCESS:
- Track vesting and send notification letters to employees
- Coordinate severance agreement details and create packets
- Monthly coordination of service award file review and submission
- Scheduling of internal meetings
- Event planning for internal gatherings such as birthday celebrations, annual events
- Coordinate and schedule itineraries to support Talent Acquisition and high-level candidates
- Administration of Taleo users and updates to templates
- Annual Compliance Poster management
- Assist with Educational Reimbursement program
- Track and submit department invoices for payment
- Maintain company-wide organization charts
- Work with Risk to maintain locations
- Maintain HR Contact Lists and Client Assignments
- Coordinate and distribute annual holiday schedule for Corporate Walnut Creek office
- Business travel planning for domestic travel and submit / review expense reports
- Draft and type correspondence, reports, agreements, offer letters
- Maintain spreadsheets for quarterly compensation reviews, president awards, contacts, locations, and distribution lists
- Order supplies, maintain copier / printer, and deliver mail for the department
- Provide back-up assistance to other administrators and front desk reception, as needed
- Support onboarding new hires in the WC office, office space, security badges, etc.
- 3-5 years of experience as an Executive or large department Assistant
- Technically proficient with Microsoft Excel, Word, and PowerPoint
- Strong multi-tasking ability with projects, itineraries and changing schedules in a fast pace, growth-driven environment
- Experience managing expense reports and travel arrangements within a corporate environment
- Detailed, organized, and professional especially as it relates to maintaining confidential information
- Outstanding written and verbal communication skills
- A positive and cheerful attitude representing the HR Department with candidates, employees, executives, and Board of Directors
- Capacity to independently see a project through from start to finish, with an eye towards process improvements and efficiencies
- Ability to work with ambiguity and offer solutions to help support the HR team
- Strong sense of business ethics, integrity, and discretion
- Ability to work in a constant state of alertness and safe manner
- Walnut Creek, CA office preferred; remote work location will be considered
