Job description

Reporting to the Chief Business Development Officer, the Sales & Contract Coordinator will be responsible for coordinating sales activity for the team, managing the client contracting process and ensuring clients have a high-quality sales experience.

Key Responsibilities:

  • Prepare contract documents for execution and delivery to appropriate parties
  • Ensure document content integrity and version control is maintained throughout the contract negotiation
  • Keep contracts up to date with most current products and solutions
  • Manage SAM, CPARS, GSA Advantage, and other required platforms
  • Participate in the procurement of government business and opportunities
  • Actively participate in discussions with internal and external stakeholders to obtain a full understanding of contract requirements
  • Engage corporate legal department in review and approval of contract terms and conditions when required
  • Maintains and organizes a database of client contracts, updates project management templates in the CRM with important client contracting milestones prior to contract handoff to operations
  • Participates in the contract handoff process to Operations team using a standard handoff checklist
  • Monitors voicemail and email inbox and respond to sales inquiries or forwards to the appropriate personnel
  • Assists with answering preliminary sales inquiries and collecting information for further engagement
  • Manages the business development team's calendar and sets up meetings with prospective clients
  • Records new leads and maintains the sales database with client contract updates
  • Ensures the adequacy of sales-related equipment and material
  • Assist in the preparation and organizing of promotional material or events
  • Organizes, coordinates, and assists in the planning of special client events and communication
  • Interfaces with cross-functional teams, including but not limited to: HRO Consulting, Product and Knowledge teams
  • Flexibility and willingness to learn and take on additional responsibilities as needed


  • Bachelor's degree or equivalent experience
  • 7 + years of experience as a sales or contract coordinator
  • 7 + years of experience in the consulting, healthcare, or technology industries
  • 3 + years of experience working with government contracts, specifically with sam.gov and GSA
  • Experience in the procurement of government opportunties
  • Experience working for both a private company and a government contracting officer a plus
  • Knowledge of Federal Acquisition Regulations (FAR) and DAU certification preferred
  • Must be self-motivated, highly detailed oriented and work well in team settings
  • Ability to build strong relationships, earn trust and build confidence as a HRO partner
  • Great verbal and written communication skills
  • Demonstrates facilitation and presentation skills
  • Ability to learn technical systems and complex material - Monday.com experience preferred
  • Must be able to remain in a stationary position for long periods of time while working remote
  • Must be able to walk or stand for long periods of time if onsite with clients
  • Ability to travel 15% of the time
