Oliver Asset Management is a boutique firm providing customized strategies for financial planning. We work with our clients to help them plan for retirement through our proprietary planning system .T.I.M.E.(tm) planning systems (Tax Income Money Estate).

Position Summary

Oliver Asset Management is searching for an Executive Administrative Assistant to join our growing team! If selected, you will be a voice and face to our clients, administrative resource and support for the left and right brain of the team. This position requires high-level discretionary decision-making as well as the ability to manage multiple tasks and deal with interruptions on a daily basis. Candidates must have excellent time management and be highly organized, flexible, and professional. The ideal candidate for this job is resourceful, a good problem solver and highly organized.

Duties and Responsibilities include, but not limited to:

  • Answer all incoming telephone calls with professionalism and care.
  • Welcome/greet all visitors.
  • Assist with scheduling client meetings and confirming client appointments.
  • Process applications and client records.
  • Update client and case information in the CRM.
  • Compile client information along with sales/marketing materials in preparation for meetings.
  • Marketing and follow-up with clients and/or leads.
  • Maintaining/coordinate calendars.
  • Create sales documents and reports.
  • Provide general administrative and sales support to the team.
  • Provide marketing and sales support throughout the sales process.
  • Assist in the planning and execution of client events.

  • Excellent time management skills, ability to juggle multiple, competing priorities, with strength in identifying and implementing solutions when applicable.
  • Excellent planning and written/ verbal communication skills.
  • Experience working independently on complex projects preferred.
  • Strong organizational and administrative skills with the ability to anticipate, improvise, multi-task and adapt for optimal resolutions.
  • Qualifications
  • A minimum of a high school diploma, Bachelor's degree highly preferred.
  • Minimum of 2 years of administrative support experience.
  • Must have highly developed PC skills, including demonstrated proficiency with Microsoft Word, Excel, PowerPoint, and Outlook. Experience with Smart Office, a plus.
  • Basic understanding of financial services, and insurance industry a huge bonus.

Work Environment

  • Business professional office.
  • Collaborative, laid back team.
  • Work hours: Monday-Thursday 9:00am to 5:00pm Friday 9:00am-12:00pm
  • $20.00+ per hour plus incentive
