Job description
A small, boutique high-end residential interior design firm is seeking a career-oriented Project Expeditor to join our growing company and team. We need someone capable of owning and managing the non-design daily tasks involved in the project process that help the designers and client visions become a reality. This position will report to the Owner and Lead Designer of the firm but will work closely with all designers and the CFO. The position is responsible for coordinating and managing the ordering, production, shipping, receiving, and install of all hardgoods and labor vendors for each project.
Responsibilities of Project Expeditor:
- Assisting with all processes of the project from client proposals to purchase orders and installs, except for design and sales
- Placing orders, updating proposals, and recording payments in project management software
- Creating, updating, and maintaining order processing documents and processes including but not limited to: client proposals, vendor quotes, order confirmations, invoices, acknowledgments, purchase orders and invoices
- Order management, including vendor management, tracking lead-times, shipping status, delivery, and installation at project site
- Inventory management, tracking and knowing where materials and goods are at all times
- Freight and shipping management, working with vendors for quotes and booking of shipments, claims, and/or returns
- Management of installs both locally and remotely occasional in and out of state travel required
- Other admin duties and various assistance as needed to support Designers with overall project execution and management
- Communication with vendors, contractors, sales reps, and sub-contractors
- Other administrative tasks will be asked of and expected to be completed, such as but not limited to: filing, ordering supplies, answer phones, errand running, attending meetings, note taking, update and manage material library
Job Expectations and Skills of Project Expeditor:
- Full Time - Must be able to be flexible during install times. Some nights, weekends, and holiday workdays may be required as projects and clients dictate
- Must be able to work efficiently and effectively under deadlines and meet them on time
- Detailed and comprehensive communication with stakeholders of projects
- Proficiency in Adobe Acrobat, Microsoft Word, Excel, PowerPoint, Outlook
- Must be extremely professional, detail oriented, reliable, and punctual, be able to manage workload with autonomy and complete tasks on time
- Self-motivated and strong time management skills to successfully work on multiple projects at the same time
- Excellent writing and communication skills, attention to detail
- Clear speaking voice with a pleasant and professional presence
- Must have a valid Drivers License and reliable vehicle
- Thrives in a fast-paced high stakes environment
- Able to lift up to 50lbs if needed. We hire movers for the big stuff, but you need to be able to move items and help physically from time to time, especially during installs
- Values building relationships and trust
- Experience and/or willingness to work in a small company, start-up type of environment
