Business Analysts for the AIS Operations and Development group of American Councils for International Education are enthusiastic, solutions-oriented service professionals, who put clients at the center of their work. Success in this position requires constant follow-through and communication, strong attention to detail, and proficiency managing competing priorities.
It is critical that Business Analysts are focused on the entire program-applicant experience and can thrive in a dynamic, team-focused environment. They play a key role in creating user interactions that help program applicants and staff seamlessly navigate the "program participant lifecycle" with ease.
For this role, we seek a candidate who can visualize the complete user experience and formulate ideas about where "AIS" can improve and support that experience. "AIS" is American Councils' proprietary, web-based participant management system that supports a user's experience from the initial program application through post-program alumni activities.
We expect you to think conceptually, have a true understanding of the web, and execute concise, well-structured web forms and application processes. You will also thrive on contributing to good design of products and processes.
What You Will Do
You will look after a portfolio of American Councils program clients. Your primary role will be to digitize and automate the program participant lifecycle via AIS. You will design, build, and operate online forms for American Councils' programs.
You will assist the department manager with conceptualizing new uses and features for AIS, and then crafting detailed instructions and workflows of those ideas for the AIS software development contractor, who will translate them into programming code. As part of these activities, you will be encouraged to learn, improve your skills, and grow professionally.
You will collaborate, share ideas, and learn from colleagues from around the world. You will also provide them with AIS training and operational support.
Forms Development Responsibilities 60%
- Build and maintain online program application, recommendation, evaluation, and other web forms using the AIS Forms tool
- Integrate paper forms and offline processes into AIS
- Coordinate online forms testing by staff
- Troubleshoot and fix live form issues quickly and efficiently
- Track and communicate project timeframes, status, and issues
- Maintain security and confidentiality of protected health and personally identifiable information
- Review and test each AIS feature release for completeness and usability; replicate and articulate bug reports for the AIS software development contractor
- Translate program requirements into well-designed data and document collection, distribution, and storage solutions
- Administer application, evaluation, selection, and registration processes in AIS
- Collaborate with program staff to ensure solutions are optimally designed for their respective audiences and meet programs' needs
- Assist program staff with mass communications to applicants, recommenders, and others via AIS
- Provide program staff with data, reports, and documents they need from AIS to administer programs
- Provide AIS training and operational support for AIS staff, program staff, partner organizations, and others
- Troubleshoot user issues
- Identify opportunities to improve the applicability and usability of AIS

Qualifications

- Acumen for translating business requirements into workflow diagrams, and functional tools and processes

- Effective interpersonal skills, with excellent written and oral communication skills in English
- Collaborative and comfortable working as part of a creative team
- Intermediate-level skills in web form layout and web accessibility, and their respective best practices
- Intermediate-level skills with HTML and CSS
- Intermediate-level skills with Microsoft 365 suite of office and business apps, and Excel in particular
- Willingness, ability, and interest to learn and improve knowledge of technical aspects of the position, such as building web forms in AIS and analyzing data in Microsoft Excel
- Beginning-level comprehension of the capabilities of web systems and databases
- Experience building mail merge documents using Microsoft Word, Microsoft Excel, and Adobe Acrobat
