Job description

Brunel is currently searching for an Executive Administrative Assistant for a contract to potentially direct position with our client located in Washington D.C. This role will initially be a remote work from home position local in D.C. area until a new office is located closer to the McLean/Tyson, VA area.


As an Executive Assistant you will be involved with my client's new U.S. start-up division supporting the International External Affairs Manager and an Executive Board member. In this role you will be responsible for managing the schedules and communications of these key company executives, along with being heavily involved in setting up the new office space. Due to the nature of this position and potential travel and presence inside Federal buildings, vaccination for Covid 19 may be required.


Duties will include but not limited to:

  • Prepare for and schedule meetings
  • Take meeting minutes
  • Coordinate all calendars and calls
  • Email and data management
  • Logistics coordination, travel arrangements
  • All administrative duties to support internal executives with their day-to-day functions
  • Manage new office set-up including selection of furniture, ordering supplies, etc.
  • May be required to travel locally to Federal buildings for meetings. Slight possibility of international travel


Requirements:

  • Minimum of 5 years prior Executive Administrative experience supporting multiple executives at one time
  • Must have previous experience supporting a start-up
  • Able to wear many hats and handle the fluidity of an unstructured work environment
  • Must be able to work in a fast paced, multi-cultural environment within multi-time zones
  • Advanced experience with MS Office; Word, Excel, PowerPoint, Outlook, Teams. Success Factors and/or SharePoint are a plus
  • Self-starter, able to work independently with little or no direction
  • Self-motivated with the ability to implement process improvements
  • Problem solver with the self-directed ability to be a solutions provider
  • Strong organizational and multi-tasking skills to work in a fast paced, high energy environment
  • Excellent communication skills with the ability to interact with board members, government and industry representatives
  • Experience in mining or renewable energy sector would be a plus
  • Fluent in English
  • Must be willing to travel if required locally, national or internationally. Less than 10%.
  • Must be eligible to work in the U.S. for any employer without sponsorship


Offer:

This position will be full-time, 40-hours per week, Monday-Friday. You will have interaction with multiple time zones around the world and some off normal office hours support may be required. Position will provide competitive compensation and will include paid holidays, PTO and 401K matching. In addition, as a Brunel contractor your medical, dental and vision insurance will begin on your first day of employment.
