Job description
WC Smith has an outstanding opportunity for an experienced Executive Assistant to support a team of Executives. This individual is responsible for performing a broad range of administrative and professional duties in support of the Executive Offices of WC Smith. This role requires a highly experienced individual to manage a busy executive office and coordinate a heavy meeting schedule with the utmost professionalism, diplomacy and tact.
This position will be based in our corporate office located in the growing Navy Yard.

- Serve as the primary point of contact for internal and external on all matters pertaining to the Office of the CEO.
- Manage an extremely active calendar by scheduling and maintaining all appointments on Outlook calendar, including handling any travel, logistical arrangements and meeting materials. Anticipates scheduling conflicts before problems arise and independently resolves.
- Diplomatically keeps CEO on schedule.
- Compose and prepare wide range of correspondence, while maintaining confidentiality.
- Proactively monitors the organizational calendar and upcoming events and calendars on the assigned executive(s) schedules as appropriate.
- Coordinates meeting arrangements, including scheduling guest speakers, venue and food arrangements, audio/visual needs and taking minutes.
- Review and distribute mail and office documents, in a manner as to ensure that important documents receive priority attention.
- Acts as recording secretary at various senior staff meetings. Records and prepares agenda and minutes. Organizes, prepares and maintains data relevant to the meeting.
- Provides effective communication between CEO, Senior Leadership and internal departments; by establishing credibility, trust and support with staff.
- Reconciles expense reports, orders flowers and gifts, tracks and distributes season tickets for sporting events.
- Perform office manager duties, including engaging vendors, general office maintenance requests, orders decorations, manages company parking assignments and acts as point of contact for property manager.
REQUIREMENTS
- Minimum of five years of proven experience supporting C-Level executives, preferably in the real estate industry.
- Bachelor's degree desired.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, public officials, project partners, etc.
- Proficiency with Microsoft Office applications, including Word, Excel and Outlook; with attention to detail and accuracy.
- Proactive and critical thinker, who actively seeks opportunities and proposes effective solutions.
- Ability to exercise excellent judgment in a variety of situations, communication, administrative, and organizational skills.
- Ability to independently take initiative and exercise good judgment in decision-making.
- Ability to work under deadline pressures and to simultaneously handle multiple assignments and projects with speed and accuracy.
