Purpose
Rigil currently has a career opportunity for a full-time Executive Assistant to support senior executives and join our Team in Washington, DC.

Duties and responsibilities
  • Provides administrative staff support to senior executives.
  • Coordinates various administrative projects simultaneously, and identifies day-to-day administrative needs, plans and accomplishes tasks, and makes decisions with only broad and general guidance within established timeframes.
  • Researches interpret and accurately applies written procedures and regulations or policies pertaining to travel, time and attendance and other administrative programs.
  • Uses assigned administrative software applications effectively, such as Microsoft Office, the electronic travel management system, labor distribution reporting, e-mail, etc. to execute administrative duties and responsibilities.
  • Prepares and/or assists with the timely preparation of travel documents.
  • Maintains proficiency on all office equipment to include, copier, fax, postage meter, etc.
  • Schedules meetings and makes logistical arrangements for conference rooms, as required, so that correct attendees are notified in a timely fashion, and all requirements for the meeting are addressed (e.g., agenda items).
  • Uses safeguards to protect sensitive, confidential, personnel information and adheres to Privacy Act regulations with respect to all work assignments.
  • Receives visitors and answer phone calls to the office; uses effective communications to ascertain the nature of visits/requests and directs visitors and callers to the appropriate person, or provide appropriate information on a telephone message.
  • Ensures visitors are apprised of, and follow, FAA and local facility security policies, as required.
  • Prepares requisition request(s) for office supplies, including administrative supplies, printing support, fax support, and postage in a timely manner.
  • Provides technical writing and editing support needed to develop, maintain, and distribute presentations, publications, speeches, articles, and similar information.
  • Ensures prompt response and appropriate level of follow-through for correspondence.
  • Prepares office correspondence, reports, and written communications in accordance with the FAA Correspondence Manual and associated rules/regulations and current FAA Branding Guidelines. This includes a review of correspondence for spelling and grammatical accuracy, conformance to existing guidelines, and proper coordination prior to signature.
  • Routes incoming correspondence appropriately and in a timely manner. Incorporates appropriate routing labels or makes copies when multiple recipients are involved. Establishes and/or utilizes control procedures to maintain the status of actions and correspondence and to ensure that deadlines are met.
  • Provides support services for planning, coordination, reporting, monitoring, and tracking the activities associated with improving and streamlining business processes and practices.
  • Collaborates and works closely with the Chief of Staff and other administrative staff to complete work products in support of objectives, additionally provide backup support as needed.
  • Works in a team environment to help ensure outgoing front office products meet the highest quality standards.
  • Provides support for special projects.
Minimum qualifications
  • Bachelor's degree in the related field is preferred.
  • 10 years of demonstrated experience.
