Overview of Position


The Human Resources and Operations Associate (HROA) is an early-career position at Elevate, focused on day-to-day HR and personnel-related duties. The HROA reports to the Vice President of Personnel and also works closely with the CEO. As a member of the Operations Team, this position also serves as back-up on all operations related issues.

This is a full-time position.


Responsibilities & Duties



HR & Personnel (80% of time)


The HROA is responsible for administrative duties within Elevate's Personnel Department, including but not limited to hiring, onboarding/offboarding, leave and time tracking, benefits, and performance reviews. This is a human resources generalist position. In addition, the HROA leads efforts to develop, refine and implement policies and processes related to personnel and HR.

The HROA leads all efforts related to Benefit Administration, including but not limited to:

  • Serve as day-to-day point of contact to all of Elevate's benefit vendors/ administrators, including health care, FSA, retirement, etc.;
  • Enroll new staff members in all benefits;
  • Reconcile all benefits statements, facilitating resolutions to any benefits errors, and recommending any correction action;
  • Work with staff members to answer questions and solve individual problems; primarily through timely email responses to staff inquiries and issues;
  • Manage benefit re-enrollment process of current staff members every year in June and July;
  • Manage leave, hours and professional development stipend usage;
  • Create systems and processes to promote easier usage of all benefits;
  • Maintain and updating employee benefits, employment status, and similar records, as well as all Personnel related databases and Dropbox;
  • Maintain records related to performance reviews, and disciplinary actions;
  • Prepare and distribute all salary and additional compensation letters;
  • Host bi-weekly Personnel office hours;
  • Assist with salary reviews for staff members across all departments;
  • Review bi-monthly and special payroll, which is prepared by Elevate's finance department;
The HROA leads all efforts related to Recruitment, Hiring, Retention, Onboarding, and Offboarding, including but not limited to:
    • Lead recruitment efforts, posting job ads and organize resumes and job applications, schedule job interviews and assist in interview process;
    • Screen candidates for four key positions at least twice per week based on established criteria for each position.
    • Screens applications and selects qualified candidates to forward to hiring managers.
    • Schedules interviews; oversees preparation of interview questions and other hiring and selection materials.
    • Assists with the interview process, scheduling interviews with managers, directors, and other stakeholders.
    • Collaborates with the hiring manager and/or other human resource staff during the offer process, identifying and recommending salary ranges, incentives, start dates, and other pertinent details.
    • Participate in, and eventually lead, Elevate's Recruitment Committee, which will be responsible for developing Elevate's recruitment strategy, implementing recruitment activities and projects, and managing recruitment standards.
  • Evaluate hiring processes and practices frequently for fairness and efficiency. Conduct annual reviews of all application materials including but not limited to interview questions, tests, and evaluation rubrics;
  • Lead Personnel onboarding of all new staff members;
  • Create an individualized onboarding schedule for each new staff member, including an initial client snapshot, in coordination with managers;
  • Manage all pre-first day correspondence to answer any questions new staff may have and ensure a smooth first week;
  • Lead Personnel offboarding of any departing staff;
  • Complete termination paperwork; compile exit letters and checklists for all departing staff, including updating benefits upon termination;
  • Conduct an exit interview with all departing staff;
  • Compile exit interview data to present to Executive team bi-annually;
  • Explain COBRA benefits and final pay to departing staff;
    • Compile and send retention data to the Executive team quarterly.
The HROA leads all efforts related to Performance Management & Performance Reviews, including but not limited to:
  • Work with the Executive Team to create, format, and execute performance reviews for all staff, including new-hire pulse checks during staff onboarding;
  • Ensure all staff members are reviewing the correct team members during performance review cycles;
  • Review data after each performance review cycle to look for bias, errors, or inconsistencies with the Personnel team;
  • Serve as day-to-day point of contact for Elevate's performance review vendor, Lattice;
  • Prepare and send advancement letters; and tracking advancement and performance information in Elevate's HR databases.
The HROA also has responsibilities related to Elevate's All Staff Meeting, trainings and retreats; HR policy and process creation and implementation; diversity, equity and inclusion; and employment law compliance. These include but are not limited to:
  • Coordinate programming, and support logistics planning for annual All Staff retreat;
  • Work with Internal Training team on monthly cross-role group trainings. Track the trainings in Elevate's HR databases;
  • Update HR Handbook annually or semi-annually;
  • Make recommendations for updating policies, based on employment law, feedback from staff, etc.
  • Develop, refine and implement policies and processes related to personnel and performance through a Diversity, Equity and Inclusion lens
  • Coordinate with Coordinating Director of Performance and Information on regular DEI trainings, and ongoing events and efforts;
  • Assist the VP of Personnel in achieving Elevate's commitment to a diverse, equitable, and inclusive workplace by supporting efforts such as researching, developing, recommending, and executing creative strategies to foster our diversity goals.
  • Maintain up to date understanding of state and federal employment law, in the 15+ states where Elevate staff work remotely;
  • Attend trainings and webinars related to employment law;
  • Raise issues that require specialized legal consultation for Executive leadership and attorneys.
  • Share HR and personnel reminders during bi-weekly All Staff Meetings with assistance from other Operations team members. Track and follow up with staff who miss All Staff Meetings.
  • Prepare and send a weekly HR Tip to all staff, with coordination from Elevate's Vice President of Personnel.
Operations & Office Responsibilities (20% of time)
  • Collaborate with Operations staff on Office operations.
  • Participate in Elevate's social committee of 5-10 staff members to organize 2+ company-wide events per month
  • Coordinate with Elevate's Client Services & Operations Assistant on the Weekly Elevate Update communication to staff about office happenings and announcements.
  • Attend regular Personnel, Compliance, Operations, and all staff meetings.

  • 1 or more years of human resources, personnel, or DEI experience
