Job description

The Municipal Securities Rulemaking Board (MSRB) seeks an Office & Facilities Manager to oversee general office operations and projects including facilities management and maintenance, vendor management, space planning, new-hire onboarding and invoice processing and cost analyses. This role will also assist with disaster recovery and business continuity planning, and various construction projects. The Office & Facilities Manager will report to the Chief People Officer and directly manage the Office Assistant and Receptionist. This position is not eligible for regular, ongoing telework.


Qualifications:

  • Three to five years of related management experience is required.
  • Successful track record for taking initiative on a variety of assigned projects/tasks; managing time effectively, and working with minimal supervision.
  • Ability to handle confidential information and handle emotionally charged situations with tact and diplomacy.
  • Must be able to occasionally lift/move up to 50 pounds.

Responsibilities:

  • Analyzes and organizes office operations and procedures such as general building operations, requisition of supplies and other clerical services
  • Initiates cost-reduction processes; checks the accuracy of orders, invoices, and monthly reports
  • Assists with space planning and coordinates the office layout and furnishings to maximize efficiency; manages the general upkeep of the office space
  • Assists with disaster recovery efforts by maintaining the disaster recovery manual and serving as the Disaster Recovery Lead; purchases and maintains disaster supplies
  • Coordinates with Building Management on all security issues including fire drills, evacuation procedures, and other exercises that improve safety and security
  • Researches, recommends, and purchases new office equipment such as fax machines, copier systems, and mailing systems; maintains and renews all lease and maintenance plans and schedules for office equipment
  • Manages building access security cards, mechanical keys, and garage parking spaces; maintains all related records
  • Develops and maintains relationships with outside vendors including office supply vendors
  • Organizes the process for the annual disposal of records·
