The Human Resources Assistant duties involve a wide range of support activities inside our HR department, from coordinating meetings to maintaining our employee database to posting job ads. An important part of this role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. Will assist in creating policies, processes and documents, have excellent organization ability, familiarity with HR software and strong communication skills. Will assist managers in the whole recruitment lifecycle (e.g. onboarding new hires and candidate sourcing). Also ensures that HR department is organized and operates smoothly to attract, hire and retain our employees. Must be able to work independently and as part of a team.

Duties and responsibilities

  • Assist with day to day operations of the HR functions and duties
  • Provide clerical and administrative support to Human Resources team
  • Maintains accurate and up-to-date human resource files, records, and documentation. Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes
  • Deal with employee requests regarding human resources issues, rules, and regulations
  • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc)
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Conducts or assists with new hire orientation.
  • Properly direct and/or handle employee complaints. Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Conduct initial orientation to newly hired employees
  • Work closely with hiring managers in various departments to define recruitment needs and plan the hiring process
  • Track recruitment KPIs, like time to hire, source of hire and time to fill
  • Assist in sourcing candidates on job boards, resume databases, professional networks and through referrals
  • Interview candidates at various stages of the hiring process (phone screening calls, video interviews and in-person meetings)
  • Oversee internal and external communication, making sure that our company maintains a positive reputation as an employer (for example on Glassdoor, LinkedIn and social media)
  • Organize hiring events and participate in job fairs to network with potential candidates
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Documents workflow and work procedures.
  • Maintain strict confidentiality of candidate and employee information
  • Other duties as assigned

Qualifications

  • Must possess the ability to read, write, fluently speak and understand the English language. Bi-lingual is preferred (Spanish/English).
  • Must meet all requirements to receive required airport SIDA badge and Customs Seal, including successful completion of a background check and ten-year work history.
  • Must be able to pass a drug test
  • Advanced Microsoft office skills (Excel, Word, and Outlook).
  • Detail oriented, strong analytical skills, ability to detect inconsistencies in data, and ability to work with minimal supervision.
  • Employee must be internet savvy.
  • Experience with social media recruiting preferred
  • High school diploma or GED required.
  • Must be 18 years of age or older.
  • Previous aviation industry experience preferred.
