Description

An international law firm, is actively recruiting a Lawyer Recruiting Coordinator in the Miami, FL office. This position performs administrative work of a highly confidential and complex nature with a high degree of proficiency. Responsible for providing administrative and database support for various lawyer recruiting, training and development initiatives. Coordinates a variety of projects, ongoing functions, and initiatives.

RESPONSIBILITIES AND ACCOUNTABILITIES

  1. Provides administrative support for the Senior Managers of Lawyer Recruiting. Provides a variety of firm-wide and office-specific recruiting and development support in the Miami and Charlotte offices.
  2. Coordinates the Miami (and, if applicable, Charlotte) office summer associate programs, with direction from the Regional Managers, and performs a variety of tasks including orientation, mentor assignments, event planning, meals, team lunches, coordination of office and work assignments. Prepares all HR documentation, prepares and tracks budgets, and assists with summer associate housing.
  3. Helps organize and coordinate, on a firmwide basis, all aspects of the summer associate program and works with the Senior Manager of Lawyer Recruiting and Law School Initiatives to develop firmwide policies and procedures relating to the summer program. Assists in coordination of summer program trips, firmwide orientation, and other programming related to the summer program. Helps coordinate preparation of communications, orientation materials, firmwide summer associate directory and content for the summer associate site.
  4. Ensures that all firm-wide response times are met as to all candidates at various stages in the recruiting process. Schedules appointments for candidate interviews and ensures completion of all required paperwork in keeping with best practices. Arranges attorney participation in interview process, and handles appropriate candidate communication throughout the recruitment process.
  5. Assists with lateral associate recruiting efforts for the Miami and Charlotte offices, including requisition requests and new hire forms, job and web postings, applicant review and scheduling, and preparation of draft offer letters.
  6. Ensures appropriate candidate and search firm communication at all times, and ensures that candidates are promptly notified of hiring decisions. Determines eligibility of online applications and ensures appropriate responses are provided, when necessary.
  7. Submits requests for background and conflict checks. Acts as point of contact for routine questions regarding the entry of background checks into the vendor system.
  8. Provides coordinator support to the annual Associate Evaluation Program.
  9. Maintains recruiting and personnel files for all assigned schools, recruits and hires in the Miami and Charlotte offices. Adheres to the retention policy and procedures.
  10. Works in the legal recruiting applicant tracking system. Assists with processing and review of online applicants, coordinating interviews and communicating with candidates and office lawyers through all phases of recruitment. Tracking the status and other items pertaining to applicants. Responds to general inquiries regarding the application process.
  11. Performs special projects as assigned.

QUALIFICATIONS

  1. Education: High school diploma or equivalent required; college degree preferred.
  2. Experience: Minimum 3 years' administrative/job related experience required, including internships, preferably in a law firm, professional services, or other client relationship-based organization.
  3. Other Qualifications: Some travel may be required. Accurate typing, strong word processing skills, ability to generate a large volume of work and pay strict attention to detail. Excellent communication skills. Spelling, punctuation and use of grammar must be of high quality. Must exercise initiative in problem solving and be capable of making sound decisions in the absence of clear instructions and be multiple-task oriented. Ability to maintain flexibility regarding work assignments and flexibility to work overtime on short notice required. Ability to work well under pressure, patience, diplomacy, high stress tolerance, excellent interpersonal communication skills, ability to prioritize workload and adapt to changing conditions. Visual acuity needed for transcription, extensive reading and input (typing) of information into computer. Ability to receive and convey detailed information through oral communication. Essential competency processes include language ability, reasoning and memory. To perform this job successfully, the incumbent must possess the abilities or aptitudes to proficiently perform each of the responsibilities and accountabilities described above, with or without reasonable accommodation.
